Grade 8 (Salary)Position Description:The University of Louisville Campus Health Services is seeking a qualified Associate Director Business Unit Administration. This position manages all patient service operations for front desk, immunization programs, and respiratory fit testing program for both the Health Sciences Center and Cardinal Station locations. Responsible for the development and/or creation of workflows and process improvement for front desk operations, immunization programs and respiratory fit testing. Interacts with multiple internal groups including students, faculty, staff as well as students/departments on the Health Science campus, including House Staff, School of Medicine, Dental School, Speech and Audiology programs and School of Nursing in Louisville and Owensboro.This position will also assist the Director, Business Unit Administration to provide a broad range of administrative support to all units within the department, collaborating with both external and internal constituents to ensure that administrative functions occur in an accurate and efficient manner while adhering to university and public policy. Essential Duties and Responsibilities:Manages front desk operations at both Campus Health Services clinical locations.Develops and revises new and/or existing processes for all front desk operations such as registration, call processing, payments, appointment scheduling.Manages processes to have an effective patient flow.Manages scheduling templates and providers schedules in practice management system.Develop front office quality assurance and efficiency by managing immunization and front desk operations and working directly with your staff members.Meet and resolve patient complaints with assistance of Director.Train all front desk and immunization staff on Campus Health policies and procedures.Provide excellent customer service.Facilitate effective communication with all areas of Campus Health Services, intra-University departments or schools, parents, or general public.Creates and revises policies and procedures for Front Desk operations and Immunizations Program Compliance processes.Manages Respiratory Fit Testing Program for all HSC clinical students and residents.Supervises the compliance tracking and reporting for HSC Immunization Program requirements including Manage all UofL compliance for immunization, including databases for all students on the Health Science campus, including House Staff, School of Medicine, Dental School, Speech and Audiology programs and School of Nursing in Louisville and Owensboro.Conduct annual insurance audit of students on the HSC campus.This position will manager 4-6 staff members daily on 2 campuses.Function as Director in their absence.Assist Director in HR, Clinical Billing, budgeting, and reconciliation.Serve as the HR initiator and timekeeper for Campus Health.Serve as back up to Director on all other HR matters.Prepare monthly departmental speed type reconciliations in BA while adhering to strict university deadlines and policies.Track departmental employee salaries, update funding sources in Workday, and initiate PET’s as needed.Participate in division/departmental meetings and special projects.Other duties as assigned by the Director/Executive DirectorMay require occasional travel between university buildings to meet with othersPreferred Qualifications:Bachelor's degree in business, management, or healthcareHIPAA TrainingAllscripts ElectronicCentricity TrainingFERPAExcelFit testing experience n-95LGBTQ TRAINING/ExperienceCompetencies:Proactive - anticipates and plans for problems before they arise.Analytical - evaluating data and other information with the ability to choose the best solution and make recommendations.Flexible - ability to change directions as needed for the good of the department or organization.Service Excellence - responsive, informs constituents of process, pleasant to work with, educates and provides timely, accurate information.Organized - manages time effectively, keeps tasks appropriately prioritized.Critical Thinking - ability to think through issues and identify appropriate options.Work Ethic - motivated, diligent, industrious, and persistent in the workplace, stays on tasks to completion, works at a fast pace to ensure optimal efficiency.Interpersonal - can build effective, strong working relationships with employees, colleagues, management and vendors through trust, communication, and credibility.Teamwork - ability to work with others, serve others, help others, lead others, mentor. others, take directions from others in the interest of moving process and programs forward to the desired outcome.Compensation will be commensurate to candidate experience.Equal Employment OpportunityThe University of Louisville is an equal opportunity, affirmative action employer, and is committed to providing employment opportunities to all qualified applicants without regard to race, sex, age, color, national origin, ethnicity, creed, religion, disability, genetic information, sexual orientation, gender, gender identity and expression, marital status, pregnancy, or veteran status.
