Executive Assistant to the EVP, Chief People Officer

As Executive Assistant (EA) to the EVP, Chief People Officer and senior members of the People Team you will provide executive support in a one-on-one working relationship. The EA also serves as a liaison to the board of directors and senior management. The Executive Assistant must be a tech-savvy, self-starter with a strong ownership mindset and a proven ability to work within a fast-paced environment. Strong candidates will be organized multi-taskers who are comfortable with ambiguity, enjoy working in-person, and have an excellent ability to prioritize tasks and communicate needs clearly.In this role, the EA is entrusted with sensitive and confidential information, including discussions related to corporate governance matters. Adherence to strict ethical standards and always maintaining confidentiality is critical.Your Day to Day:Administrative Support

Provide comprehensive administrative support to senior executives.

Manage calendars and schedule meetings – using good judgement and creativity when conflicts arise.

Ensure executives are well-prepared and organized for their meetings and have access to relevant information

Coordinate travel arrangements, expense reports, catering needs, as needed.

Board and Committee Support

Play a vital role in supporting board and committee material preparation activities.

Assist in preparing meeting agendas, collating board packs, and distributing materials to board members.

Coordinate logistics for board committee meetings, ensuring that they run smoothly.

Communication and Stakeholder Management

Draft and proo memos, reports, and presentations, as requested

Coordinate with internal and external stakeholders, including executives, board members, ensuring that information flows smoothly and stakeholders' concerns are addressed.

Skills and Qualifications

5+ years of experience working as an EA for a C-suite executive

BS/BA or equivalent experience

Advanced proficiency with Microsoft 365 including: Outlook, Word, Excel, and PowerPoint is required

Experience with both Windows and MAC computers preferred

Highly accomplished in writing professional emails, note-taking, proof reading, editing and contributing to crafting documents and presentations

Flexible hours as dictated by the needs of business for projects and meetings
