Responsibilities: Executive Assistant Functions:
Organize and maintain the business calendar for the Senior Leadership Team
Prioritize, file, and respond when necessary to emails on behalf of Executives.
Organize and create Senior Leadership electronic filing system.
Organize, prepare and attend Leadership team meetings, including gathering documents and attending to logistics of meetings. Coordinate, type notes/minutes, follow up and distribution of action items.
Schedule a wide range of meetings, events, and seminars for the Management and Senior Leadership Team.
Coordinate food for company meetings – includes ordering, setup and cleanup.
Create and send written internal and external communications.
Assist in the research, communication, and coordination of various company projects as defined by the Senior Leadership Team
Run miscellaneous errands as needed, both business and personal.
Arrange personal travel for Senior Leadership Team and others as requested – includes airline, hotel, dinner, car, reservations and all changes.
Schedule, administer and manage personal appointments and transactions for Senior Leadership team and others as requested.
Conduct web-based research as requested.
Conceptualize, prepare and/or notarize documents, agendas, spreadsheets, and presentations as needed.
Maintain confidential and sensitive information
Prepare mail and overnight packages for shipping.
Other general office and administrative tasks as delegated by Senior Leadership Team and others as requested.
Office Administrative Functions:
Coordinate food for company meetings – includes ordering, setup and cleanup.
Coordinate and plan birthday cards, holiday cards, client gifts & annual meetings.
Coordinate events and serve on all committees - Holiday Party, Employee Recognition, Company Events, Charitable Committee, Activities Committee
Qualifications:
A detail-oriented, quick learner.
Someone who exhibits sound judgment with the ability to prioritize, use initiative and make decisions.
Energetic and eager to tackle new projects and ideas.
Comfortable interacting with high-level executives.
A team player capable of communicating and working with different employees in all departments across the organization.
Resourceful, can-do attitude.
Thrives in a fast-paced environment
Demonstrate discretion and maintain confidential and sensitive information.
Flexibility to work very occasional out of hours should there be an urgent request.
Associates degree preferred.
Three to five years’ prior experience in supporting a senior executive or team.
Excellent computer skills, including the Microsoft Office Suite (Teams, Outlook, Word, PowerPoint, and Excel)
Exceptional writing, editing, and prooing skills.
Excellent organization and time-management skills.
