Office Assistant
We're seeking a highly organized Office Assistant to join our team. This role is a great fit for a proactive individual who thrives on variety and can handle a wide range of administrative, financial, and logistical tasks. The ideal candidate will be a strong multi-tasker with a keen eye for detail and the ability to work independently.
Responsibilities
As our Office Assistant, you'll be the backbone of our daily operations. Your responsibilities will include:
Administrative & Financial Support
General Administration: Manage all correspondence (emails, letters, packages), perform data entry, and prepare reports and presentations as needed.
Bookkeeping & Accounting: Maintain and update financial spreadsheets, track and input expenses and invoices, handle bi-weekly payroll using QuickBooks, and manage vendor lists and accounts. You'll also be responsible for logging and paying monthly and quarterly sales and use taxes.
Office Management: Maintain and organize office files, including physical and digital records. You'll also be in charge of ordering office supplies and van parts to ensure we're always well-stocked.
Shop & Logistics Support
Van Production: Assist with simple van production tasks, such as insulation, wiring, and some two-person jobs.
Errand Running: Use a company card to pick up and drop off items, purchase supplies for van builds, and file receipts. You'll also be responsible for taking the company dogs to the park after lunch.
Vehicle Market Research: Keep an eye on the van market by checking specific websites and updating our sales listings once a van is sold.
Cleaning & Maintenance
General Upkeep: Perform bi-weekly deep cleaning of the office and maintain general tidiness throughout the week. This includes sweeping, mopping, tidying desks, and cleaning windows and bathrooms.
Shop Maintenance: Help keep the shop clean by sweeping, putting tools away, and tidying up. You'll also be responsible for emptying all trash and recycling bins.
Qualifications
To succeed in this role, you should be competent in the following areas:
Proficiency with Microsoft Office 365, including Word and Excel.
Strong knowledge of QuickBooks Pro accounting software.
Experience with database management and general office procedures.
Excellent organizational skills with a strong attention to detail.
The ability to work independently and manage multiple priorities.
