Objectives of this Role

The Operations Support Specialist is responsible for the Production processing of transactions for the Company. Duties include but are not limited to processing incoming equipment for service/Preventive Maintenance, Monitor Shop Work Flow, Back Orders, Shipping, Delivery Schedule Management, purchasing replacement parts/shop equipment etc., Customer Database Management

Daily and Monthly Responsibilities

1. Order Entry:

- Accurately enter and process customer orders for medical device repairs.

- Ensure that order details are complete and meet the specified requirements.

2. PM Entry:

- Enter data related to preventive maintenance schedules and requirements

- Collaborate with the maintenance team to schedule and track planned maintenance tasks

3. PM Reminders:

- Generate and manage preventive maintenance reminders for timely service interventions

- Work closely with technicians to coordinate and optimize preventive maintenance schedule

4. Check In / Out:

- Oversee the efficient check-in and check-out processes for medical devices

- Maintain detailed records of equipment status and location

5. Packaging:

- Safely , and securely package medical devices for transportation and repair

- Ensure compliance with packaging guidelines and standards

6. Shipping:

- Coordinate shipping logistics, including selecting appropriate carriers and generating shipping labels

- Track shipments to ensure timely and accurate deliveries

7. B.O Entry:

- Handle backorder entries and communicate effectively with suppliers to manage inventory levels

- Monitor and update backorder status regularly

8. Delivery Schedule:

- Develop and maintain a delivery schedule to meet customer commitments

- Optimize delivery routes for efficiency

9. Emails & Phone Calls:

- Respond promptly to customer inquiries via email and phone

- Communicate effectively with internal teams to address customer concerns

10. Purchasing:

- Assist in the procurement of necessary supplies and components for medical device repairs

- Collaborate with suppliers to negotiate terms and ensure timely deliveries

11. Customer Database Management:

- Maintain and update the customer database with accurate and current information

- Ensure confidentiality and integrity of customer records

Qualifications:

-Strong Computer knowledge

-High attention to detail

-Ability to communicate with Team Members, Customers, Vendors and Management

-Excellent communication skills, both written and verbal

-Valid driver's license

Familiarity with medical device terminology and repair processes is a plus

Job Type: Full-Time

Pay: $20.00 - $21.00 per hour depending on experience

Experience:

Minimum of 3 years’ experience in related Fields

AAS in Business or related field (preferred)

Minimum of 2 Years QuickBooks (preferred)

Roadrunner (Preferred, not required)

Office 365 (Word, Excel, Outlook)

Physical Work location setting:

Office in Person

Schedule:

Day shift

Monday to Friday
