Role Overview: CON-OPS Administrative Assistant

As a CON-OPS Administrative Assistant at United Infrastructure Group (UIG), you will provide essential administrative support to construction operations. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced construction environment.

Typical Duties include but are not limited to:

Receive/direct visitors and incoming calls.

Maintain utilization schedules for common areas, such as conference room, training room, etc.

Track and manage distribution of New Employee Tool Kits

Prepare agendas, assimilate materials, and take minutes for meetings when needed.

Perform clerical duties such as filing, photocopying, transcribing, and faxing as needed.

Sort, distribute, and send mail as needed.

Manage uniform and promotional inventory and distribute uniforms to new hires.

Assist with coordinating marketing/BD/Con-Ops events.

Assist HR and Safety Depts. with various admin functions as a back-up to HR Admin Staff.

Direct onboarding and applications for walk-ins with recruiting assistance.

Assist UIG Officers and CON-OPS Department Managers with admin functions as needed.

Write, review, and edit communications, letters, reports, and instructional documents.

Assist in making travel arrangements, coordinate activities, run errands, enter data, etc.

Assist in managing yearly uniform orders.

Update project location information quarterly in Box and COINS System.

Update Crew Maintenance as needed in COINS System.

Assist in preparation for company parties and events.

Other Duties as Assigned.

Skills, Knowledge, Qualifications & Experience:

High school diploma or equivalent education required.

A minimum of 3 years of administrative assistant experience, preferably in a construction or project-based environment.

Knowledge of appropriate software including Microsoft Word, Excel, Outlook, and experience with BirdDog and COINS Systems is preferred.

Strong organizational skills and attention to detail.

Ability to multitask and prioritize tasks in a fast-paced environment.

Excellent communication and interpersonal skills.

Ability to handle sensitive information with discretion and maintain confidentiality at all times.

Physical Requirements:

Periods of sitting at a desk and working on a computer – administrative duties

Must be able to lift up to 20 pounds at a time.

Occasional visits to project sites may be required.

REQUIREMENTS: ALL Applicants must be:

18 years of Age

Able to pass a Drug Test

Legally Eligible to Work in the US

Must have reliable transportation to and from jobsite every workday (driver's license preferred)

Willingness to travel for project requirements, including overnight stays, to support various project sites.
