We are a thriving Community Management company looking for the right Administrative Assistant to add to our team. The assistant will provide support and assist the Community Manager with the day-to-day operations of the association.
The position requires a self-motivated individual who is able to prioritize tasks and thrive in a fast-paced environment.
Qualifications
- Proficient in Microsoft Office suite, including Excel, Outlook, and Word
- Strong computer skills with the ability to learn new software quickly
- Excellent phone etiquette and communication skills
- Previous administrative experience preferred
- Organized with strong attention to detail
- Ability to prioritize tasks and manage multiple responsibilities efficiently
Duties include but not limited to:
· Responds to homeowner & board member calls, emails and walk-ins
· Prepares all outgoing mail, printing, folding, stuffing & labeling within timeline specified by the Community Manager
· Process violation letters and hearing letters within set time
· Process Architectural applications from receipt to completion.
· Organize, maintain and update HOA information sheets for each association
· Log all correspondence, copies and postage
· Distribute pool/gate keys and remotes
· Follow up with vendors when instructed by manager
· Review incoming faxes and send outgoing faxes
· Assist with other jobs and other duties as necessary.
Prior HOA experience is a plus!
