ELBERON, NEW JERSEY

Title: Congregation Administrator

Function: The Congregation Administrator serves as the chief administrative staff member of the congregation, in accordance with the values and objectives of the Board of Trustees and Temple Beth Miriam’s bylaws. They play a critical role supporting day-to-day synagogue operations. That role includes administrative, fiscal, and structural functions, as well as supervision of all administrative, clerical, and building maintenance personnel.

Principal Responsibilities: The Administrator assists Temple Beth Miriam’s Executive Committee, President, and other committees, as assigned. The Administrator is to coordinate and collaborate with the Rabbi and Religious School Principal on administrative areas. The Rabbi serves as the Administrator’s day-to-day supervisor. The Administrator is responsible for performing the following administrative functions, either directly or through staff and volunteers:

Fiscal: Coordinate with the Treasurer to record receipts via Quickbooks and Shulcloud, pay bills, run payroll (including staff, teachers, b’nai mitzvah tutors and subcontractors), make bank deposits and check financial accounts daily to ensure they are accurate and up to date, note donations and send acknowledgment letters, provide reports via Excel, and prepare for any scheduled audits.

Membership: welcome new inquiries for membership and refer them appropriately, interface with members in a positive way, provide general support for the Board and committees, maintain membership database via Shulcloud (including updating member information and committee information).

Office management: handle correspondence (incoming and outgoing), prepare printouts and mailings, stock office supplies and inventory.

Administration: handle phone calls and make appointments, work with Rabbi on b’nai mitzvah communications and materials, compose and edit emails about congregant life events, compile and edit Yahrtzeit and Misheberach lists for Friday night services and schedule ushers, take notes during board meetings.

Religious school support: work with principal on registration forms, class lists, mailings, photocopy class materials, and take calls and messages.

Facilities and equipment: secure estimates of necessary work to the structure, interface with contractors during work, manage security staff including hiring, scheduling, and running their payroll

Manage schedule of temple programs and keep public calendar up to date

Rentals: bill customers and advertisers in a timely fashion including balance followups

Qualifications and Prerequisites

Competency with Microsoft Office suite, Quickbooks, and Shulcloud (or technical aptitude to learn); familiarity with project/task management software preferred

Excellent interpersonal skills and an ability to interact effectively with congregants, Board of Trustees, staff, volunteers, community members and potential members

Excellent written and verbal communication skills

Self motivated with flexibility to multitask amid changing circumstances and priorities

Jewish literacy/knowledge sufficient to direct congregational activities

Demonstrate ability to manage financial resources including budgeting

Experience in facilities management and operational technologies, including website management and social media

Experience with volunteer activities and fundraising;

Physical mobility to allow work throughout the facility, ability to sit and utilize a computer terminal, and to lift up to 30 pounds

Education and Experience:

Prior experience in congregational or non-profit work environment strongly preferred

Bachelor’s degree strongly preferred

Hours: 32 hours per week

Salary: 60-80,000 commensurate with experience
