Office Manager – Swimming Pool Company

We are seeking a highly organized, self-motivated Office Manager to take full responsibility for the day-to-day operations of our office. This is a key position in our swimming pool business, and we’re looking for someone who can work independently and ensure smooth and efficient administrative operations.

Key Responsibilities:

Manage all aspects of office administration

Handle client scheduling, calendar management, and service coordination

Prepare and send invoices; monitor payments and follow up as needed

Complete permit applications and coordinate with municipalities

Maintain organized records for customers, jobs, and vendors

Communicate with clients via phone and email with professionalism and clarity

Support field staff with logistics and documentation

Order office supplies and manage vendor relationships

Requirements:

Experience in office management, administration, or a similar role

Strong skills in scheduling, invoicing, and working with permitting systems

Highly organized, detail-oriented, and able to work independently

Excellent communication and customer service skills

Proficiency with common office software (QuickBooks, Microsoft Office, etc.)

Experience in the construction or service industry (preferred but not required)

This is a solo-office position—you will be the primary administrative force behind a growing and respected swimming pool company.

Please keep in mind we are a family business and the pool season is seasonal work! Busy times are between March-October.
