Our New Jersey based certified public accounting firm engaged in the practice of public accounting, tax planning and preparation, and management consulting services is seeking a full-time Administrative Assistant.
This position is ideal for applicant wishing to gain real-world, hands-on experience in the fields of accounting and financial planning.
Administrative assistant responsibilities include:
· Client support: Phone calls, emails, and assist with inquiries
· Manage contacts, draft emails, and other Microsoft Outlook functions
· Receptionist and clerical duties such as filing, scanning, and printing documents
· Letter/email writing and editing
· Tax return assembly and preparation of Form 1099 for clients
· Creating and maintaining company files
· Human resources support and special projects when required
Room to grow and expand responsibilities, including but not limited to:
· Client onboarding and various duties including account opening preparation for financial planning book of business
· Basic bookkeeping - strong knowledge of excel to create spreadsheets
· Client invoicing and credit card processing
Requirements include:
· Strong interpersonal and communication skills (verbal and written)
· Working knowledge of the Microsoft Office 365 (mandatory)
· Ability to work independently as well as part of a team, and interact with staff at all levels
· Exceptional organizational skills and attention to detail
· Highly motivated self-starter
The ideal candidate will also possess:
· Experience in the financial services industry
· Working knowledge of QuickBooks and other accounting software
· Thomson Reuters Practice CS accounting software proficiency
· Experience with Greatland Yearli Premier software program for 1099s (preferred but willing to train)
Employment type: Full-time (with the ability to work on Saturdays during tax season). Part-time for the right candidate
