FT position 30-40 hr week in construction office. We are seeking someone to assist our Owner with day-to-day Operations and Administrative duties in office.
Assist in the management of the bidding process as subcontractors submit bids for work.
Assist in generating Subcontractor Contracts based on Award and Scope of Work
Follow-up with Subcontractors and Officers in obtaining approvals and/or signatures.
Review, approve and process Subcontractor Draws/Invoices
Generate and obtain appropriate Lien Releases for payment disbursements.
Obtain and manage expiration of Vendor Certificates of Insurance
Other duties as assigned.
Marketing
Assist with handling tax and insurance audits and filings working with agents.
Maintain all AP and AR
Can assist in Job site and client issues
Proven experience as an Administrative Assistant
Proficiency in MS Office (MS Excel, MS Word)
Highly organized, efficient, motivated, punctual, ability to multitask, strong follow-up skills with subcontractors.
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers, scanners, etc.
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
