Provide administrative and project coordination support to senior leaders and other department personnel

Manage multiple complex calendars, as well as booking domestic and international travel

Maintain flexibility, anticipation, and advanced organizational skills which are essential for arranging and adjusting to changing daily schedules

Utilize technology to optimize all business interactions to include all virtual meetings, to include Zoom and Team meetings

Proactively seek out opportunities to make team management and oversight more efficient

Aid in developing project communications, including but not limited to PowerPoint decks, Word

documents, Excel spreadsheets, SharePoint administration, etc.

Maintain team distribution lists

Schedule and prioritize internal and external meetings, as well as meeting planning including drafting of attendee list, sending invitations to attendees and/or acting as point of contact for attendees, off meeting site contracting, catering and room setup with tech equipment as needed

Respond to complex inquiries from all levels of employees or external sources regarding a variety of questions across multiple time-zones and cultures

Facilitate interview scheduling and Totality administration

Prepare monthly expense reports through Concur.

Manage Corp. Meeting Card for team.

Provide back-up support as needed to team Executive Administrative Assistant.

Partner with all team administrative assistants across the Global Medical Affairs Oncology team to provide seamless support.

Qualifications

High School diploma and/or equivalent work experience required

A minimum of 2 years’ experience at a technical school/program preferred

Minimum of 6 years of intermediate to advanced administrative experience required

Able to maintain confidentiality, establish secure filing procedures and safeguard materials and information required.

Must have a keen sense of prioritization, organization, and time management to ensure maximum effectiveness for the benefit of the team.

Advanced proficiency with Microsoft office programs (Word, Excel, PowerPoint, Outlook, etc.) required.

Advanced proficiency with productivity tools and portal technology required (Our Source, Zoom, Global Connect, Teams Meetings, eMarketplace, Concur, Our Source, Workday, Totality, ASK GS, SharePoint)

This position is required to be based in Raritan, NJ.

The base pay range for this position is $50,000 to $80,500.This position is overtime eligible.This job posting is anticipated to close on March 13, 2024. Holiday pay, including Floating Holidays – up to 13 days per calendar year

Work, Personal and Family Time - up to 40 hours per calendar year
