Administrative Assistant

Description Oversee office administrative tasks, including front office coverage (Mon–Fri, 7AM-4PM MST), errand running, visitor management, and security procedure adherence.Handle shipping, correspondence, and mail sorting and distribution.Manage facility, including room scheduling, catering, cleanliness, inventory, and prompt reporting of maintenance issues.Support management team with calendar scheduling, travel planning, and expense reporting.Assist in planning and executing company events, including vendor coordination, promotional material creation, and post-event feedback management.Ensure a safe and positive work environment by adhering to safety measures and fostering a collaborative atmosphere.Travel outside the main complex as needed, possessing a valid US Driver’s license with a safe driving record.Education and Skills:Academic coursework/familiarity in computer applications, office admin, and technology. Experience may substitute for academics.2-4 years experience in an Administrative Assistant role.Proficiency in Microsoft Office Suite and knowledge of office responsibilities, systems, and accounting principles.Strong communication, organizational, and problem-solving skills. Ability to handle sensitive information ethically.Ability to lift and carry up to 40 pounds, and to work flexibly during events or special projects.Positive attitude, energetic, and professional demeanor.Requirements Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook. Capability to manage inbound and outbound calls effectively. Excellent customer service skills, with a focus on building and maintaining customer relationships. Strong data entry skills, ensuring accuracy and attention to detail. Proficient in email correspondence, able to compose clear and concise messages. Ability to schedule appointments, manage calendars, and coordinate schedules. Exceptional organizational skills and the ability to prioritize tasks in a fast-paced environment. Strong verbal and written communication skills. Ability to work effectively as part of a team and independently when required. Problem-solving skills with the ability to think quickly and handle any arising issues. High level of professionalism and a positive attitude.
