We’re looking for a dedicated and highly organized coordinator to manage the moving parts of our private lesson program, which includes nearly 300 active students and a team of around 20 instructors. If you have experience maintaining a busy and ever-changing calendar and love being at the heart of a vibrant, music-filled community, this might be the perfect role for you.
Responsibilities:
Process Inquiries: Handle new student inquiries, conduct intake interviews, assist with registration, manage payments, and schedule lessons to ensure a seamless onboarding process.
Tuition and Policies: Effectively communicate tuition and cancellation policies to students and parents, maintaining clarity and transparency in all interactions.
Account Management: Monitor student accounts, prevent overdue payments, process invoices, and collect payments.
Student/Teacher Placements: Thoughtfully assign students to teachers, considering schedules and individual needs and strengths for an optimal learning experience.
Scheduling Support: Facilitate scheduling changes for students and teachers, ensuring smooth transitions and minimizing disruptions.
Software Proficiency: Become proficient in utilizing all aspects of the lessons management program, My Music Staff.
Customer Service: Deliver friendly, professional support in person, by phone, email, and text, responding promptly to all inquiries.
Written Communication: Maintain proper grammar, punctuation, spelling and tone in all email correspondence, to uphold our professional image.
Payroll Processing: Handle teacher payroll accurately and collaborate with the accountant by maintaining payroll records, reviewing and ensuring paycheck accuracy, and processing/distributing teacher paychecks.
Student Follow-up: Continually engage with students to foster ongoing relationships.
Teacher Management: Participate in the interview and onboarding process for new teachers, and provide ongoing support, training, and guidance to maintain a strong, high-quality team of educators.
Event Support: Assist in organizing and executing educational events such as student showcases.
Quality Control: Contribute to quality control efforts, reviewing programs, documents, policies, and online content for accuracy and effectiveness.
Qualifications:
Strong organizational skills and attention to detail.
Excellent communication and interpersonal abilities.
Computer, email, and software program proficiency.
Customer-centric mindset with exceptional customer service skills.
Ability to handle multiple tasks and prioritize effectively.
Previous experience in an administrative role.
Musical experience (a plus, but not required).
