Description We are offering a long-term contract employment opportunity for Executive Secretaries and Administrative Assistants in Albany, New York. The role involves providing high-level administrative support within our team, conducting research, preparing statistical reports, handling information requests, and performing clerical functions.Responsibilities: Provide administrative support by conducting research and preparing statistical reports. Handle information requests and perform clerical functions such as preparing correspondence, receiving visitors, and arranging conference calls. Schedule meetings and organize travel and business expense reimbursements. Act as immediate supervisor's personal representative in routine contacts with other State executives. Perform special assignments, studies, and routine administrative functions as specifically directed. Screen incoming correspondence, refer to appropriate staff, and follow up to assure timely response. Manage calendars and schedule meetings with both internal and external stakeholders. Handle correspondence, calls, emails, and other forms of communication with internal and outside stakeholders. Prepare reports and other documents, manage travel arrangements including booking flight and hotel reservations. Assist with special projects and research as needed. Requirements Demonstrated proficiency in Microsoft Excel and other Microsoft Office applications Experience in customer service and strong interpersonal skills Excellent communication skills, both written and verbal Ability to perform clerical duties such as correspondence and reporting Experience in research and project management Knowledge of hiring processes and ability to liaise with vendors Ability to handle financial notes and interact with stakeholders at all levels Experience in managing travel arrangements and maintaining expense accounts Familiarity with the software 'About Time' for efficient planning Ability to lead special projects and ensure timely delivery of deliverables Experience in preparing reports and managing reimbursements Ability to support C-Suite executives with administrative tasks Capability to manage complex scheduling and planning tasks High level of professionalism and confidentiality Strong organizational skills and attention to detail Ability to multitask and prioritize in a fast-paced environment Willingness to take on new challenges and learn new skills Proven track record of reliability and consistency Experience in managing complex travel arrangements Ability to handle sensitive information with discretion.
