Location: Binghamton, NY Category: Professional Posted On: Mon Dec 9 2024 Job Description: Budget Title: Staff Assistant (SL-2)Salary: Commensurate with experience ($49,261-$59,000)The Department of Pharmacy Practice in the School of Pharmacy and Pharmaceutical Sciences at Binghamton University is seeking an organized, responsible, high-energy individual who also has excellent multi-tasking and communication skills for the position of administrative coordinator. The administrative coordinator maintains the highest standards of student friendliness and support expected in the fulfillment of the mission of the school and the University. The successful candidate will need to be organized and detail-oriented as well as productive while handling multiple tasks and competing priorities. Outstanding verbal and written communication skills, as well as an ability to adapt to shifting priorities and tasks as assigned are also essential. This person will be supervised by the department chair and provides support for departmental faculty. Responsibilities:

Serve as liaison between dean/department chairs/faculty and other professional staff with respect to administrative matters and as first point of contact to the department; facilitate communications and operational processes relating to the department. As first point of contact for department, maintain the highest level of professionalism and confidentiality.

Primary support person for Department of Pharmacy Practice, including department chair and 19 faculty/staff members at Binghamton University. Provides occasional backup support for the Office of Experiential Education as directed by the chair.

Budget manager for department involving purchasing items, processing payments/reimbursements, reconciling expenses while monitoring budget status.

Manage the candidate recruitment process by advertising positions, coordinating interviews at Binghamton University and clinical sites, creating itineraries, organizing travel arrangements and processing Human Resources and financial paperwork. Lead person for onboarding new team members.

Supervise work-study student who performs administrative tasks for the department.

Arrange travel related to department by registering faculty/staff for conferences, booking flights and lodging and preparing and submitting Travel documentation to the Business Office.

Oversee Faculty Placement Agreement status for faculty clinical placements and update, when necessary, with legal department.

Manage the department chair's calendar, take meeting minutes and assist with creation of departmental reports in Word, Excel and PowerPoint.

Assist faculty with design and printing of course materials and curricular event materials.

Coordinate departmental adjunct recruitment and onboarding; assist with processing adjunct appointments.

Attend trainings, classes and workshops to increase knowledge and produce efficient and effective results.

Maintains confidentiality and works effectively as a team member.

Job Requirements:

Bachelor's degree (or higher)

Minimum 3 years of administrative support experience

Microsoft Office Suite proficiency, especially in Excel, Word, and PowerPoint

Excellent organizational and time management skills

Excellent oral and written communication skills

Preferred:

Previous experience in a healthcare related school, pharmacy school, and/or experience in a higher education environment
