Description We are offering a short term contract employment opportunity for an Administrative Assistant in the Real Estate Property/Facilities Management industry, located in Melville, New York. This role will involve offering administrative support to the Asset Management Department that services cooperatives, condominiums, and homeowner associations. Responsibilities: Offer customer service support via telephone to property managers, ensuring their inquiries and concerns are addressed promptly and effectively. Type and manage correspondence, ensuring communication is efficient and accurate. Create, maintain and update various spreadsheets, ensuring data accuracy and timely updates. Prepare monthly meeting reports for Boards, ensuring data is accurate and the information is presented in a clear and understandable manner. Utilize Microsoft Word, Excel, and Outlook to perform day-to-day tasks and manage customer data. Handle high-volume customer service calls, ensuring customer satisfaction and efficient service. Perform multi-tasking duties, managing multiple tasks and deadlines efficiently. Conduct scanning and other general office duties, maintaining an organized and efficient work environment. Use your skills in Answering Inbound Calls, Customer Service, Data Entry, Email Correspondence, Inbound Outbound Calls, Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word to perform your duties. Schedule appointments and meetings as required, ensuring efficient time management. Requirements Minimum of 2 years' experience in an administrative role within the Real Estate Property/Facilities Management industry Proficient in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word) Excellent customer service skills and experience in a customer-facing role Experience in handling inbound and outbound calls Proven ability to schedule appointments effectively Strong data entry skills with attention to detail Ability to manage email correspondence efficiently and professionally Must have strong organizational and multitasking skills Excellent verbal and written communication skills Ability to work independently and as part of a team High level of professionalism and confidentiality is crucial to this role.
