We are a busy NYC-based family seeking a highly organized, discreet, and proactive Personal Assistant to support our household and family operations. This is a part-time role (approximately 15 hours per week) that is primarily remote, with occasional in-person support (approximately one day per week or as needed) for local tasks.
This role is best suited for someone familiar with the expectations and pace of NYC family life and comfortable working in high-trust, private environments.
Responsibilities include:
Photo organization & memory keeping
Organizing digital photos across devices and platforms
Curating and coordinating a high-quality annual family photo album
Property & asset management
Managing administrative aspects of family rental properties (coordination, tracking, vendor follow-ups)
Overseeing our storage unit (inventory management, access coordination, organization)
Travel coordination
Supporting family travel logistics (itineraries, confirmations, coordination across schedules)
Anticipating needs and flagging gaps before travel
Dining & lifestyle coordination
Booking hard-to-get restaurant reservations in NYC and while traveling
Managing dining preferences, special occasions, and last-minute requests as needed
Children’s schedules & social logistics
Coordinating and tracking children’s schedules, including activities, playdates, and social commitments
Managing birthday party logistics (RSVPs, calendar coordination, gift sourcing, and delivery)
Maintaining a running list of children’s friends, families, and key dates
Coordinating and tracking thank-you notes following birthdays, events, and holidays
Ensuring no details are missed around school or social milestones, with proactive reminders and follow-up
Administrative & financial support
Tracking reimbursements and expenses with accuracy and discretion
Maintaining organized records and clear summaries
Household systems & planning
Maintaining a central household contact list and documentation
Tracking important dates, deadlines, and upcoming needs
Coordinating vendors and following through to resolution
In-person support (NYC)
Occasional in-person assistance (approximately one day per week or as needed), including:
Picking up or coordinating packages and deliveries
Managing returns or exchanges
Liaising with building staff as needed
Communication & reporting
Providing concise weekly updates outlining completed tasks, upcoming items, and any decisions needed
Ideal candidate:
Comfortable supporting high-net-worth and private families, with an understanding of discretion, confidentiality, and white-glove standards
Familiar with the pace, expectations, and nuances of a luxury lifestyle, including travel, dining, residences, and service coordination
Exceptionally organized, detail-oriented, and self-directed
Demonstrates strong discretion, confidentiality, and sound judgment
Comfortable working in a high-trust, private family setting
Tech-savvy (shared drives, photo platforms, spreadsheets, reservation platforms, digital tools)
Proactive and anticipatory—able to see what needs to be done before being asked
Familiar with NYC dining, travel, and service landscapes
Experience supporting NYC families, executives, or principals strongly preferred
Long-term mindset and pride in creating systems that quietly run in the background
