Description We are in the legal industry, based in New York, and are currently seeking a Receptionist. This role involves performing a variety of administrative duties, such as answering phone calls, organizing files, and scheduling appointments. This is a short-term contract employment opportunity that will require the successful candidate to have strong customer service and data entry skills, as well as proficiency in Microsoft Office applications.Responsibilities: Answering multi-line phone systems in a professional manner and accurately taking messages. Managing email correspondence and ensuring all inquiries are addressed promptly. Efficiently processing customer service requests and maintaining up-to-date customer records. Utilizing Microsoft Word and Excel to organize and manage files. Scanning and filing documents to maintain an organized digital and physical filing system. Receiving and sorting mail in a timely manner. Providing general administrative assistance as needed, such as scheduling appointments. Ensuring all customer interactions are handled with a high level of professionalism and interpersonal skills. Assisting in the maintenance of office equipment and ordering supplies as necessary. Adhering to all legal industry regulations and guidelines. Requirements Minimum of 2 years of experience in a receptionist role, preferably within the legal sector Proficiency in answering multi-line phone systems Strong customer service skills with a focus on professionalism and courtesy Experience with data entry tasks and maintaining accurate records Ability to handle email correspondence efficiently and professionally Exceptional interpersonal skills for interacting with clients and team members Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook Experience in organizing files and maintaining an orderly workspace Ability to schedule appointments and manage calendars Familiarity with document scanning and electronic file management Experience with filing systems and administrative tasks Must have administrative assistance skills and the ability to multitask effectively This role requires a candidate who is able to handle a fast-paced environment while maintaining a high level of professionalism and attention to detail.
