GENERAL DESCRIPTION
The Administrative Assistant provides high-level administrative support to the CEO and leadership team when needed. We are seeking a detail-oriented and proactive Administrative Assistant to support our leadership team. The ideal candidate will be organized, resourceful, and capable of handling confidential information while maintaining professionalism. This role involves managing schedules, coordinating meetings, and ensuring the needs of the CEO is met as well as occasional support of the leadership team.
DUTIES AND KEY RESPONSIBILITIES
Administrative Support:
- Manage and maintain calendars, scheduling appointments and meetings.
- Draft, proofread, and edit correspondence, reports, and presentations.
- Handle confidential documents and ensure their secure storage.
Communication Management:
- Screen and prioritize emails, phone calls, and messages.
- Relay information and follow up on inquiries as needed.
Event Coordination:
- Assist in organizing meetings, events and conferences for CEO.
- Assist in preparing agendas, meeting minutes, and other required materials.
- Coordinate travel arrangements, including flights, accommodation, and itineraries.
Project Management:
- Assist in the planning and execution of special projects.
- Track and report on project progress.
- Coordinate with teams to ensure deadlines are met.
SKILLS/BEHAVIORAL REQUIREMENTS
> High school diploma, GED, or suitable equivalent.
> 4+ years of administrative assistant experience, preferably in a related field.
> Detail orientated and ability to multi-task in fast paced environment.
> Initiative to organize, update and communicate to ensure client needs are being met.
> Proficient computer skills.
> Proficient with MS Office suites.
> Excellent phone etiquette.
> Outstanding communication skills, both verbal and written.
> Strong people skills.
