Part-time Administrative Assistant

Sunnyside Shines Business Improvement District (BID), a small non-profit tax-exempt organization in Western Queens, is seeking candidates for a part-time Administrative Assistant.

The position will start at 10 hours and could grow into 30 hours a week.

This is an entry-level position which would be good for a recent college graduate, someone interested in working part-time.

The position reports to the Executive Director, and the Deputy Director.

Administrative Assistant duties and responsibilities include, but are not limited to, the following:

Responsible for administrative aspects of a small office, including, answering telephones, responding to inquiries, assisting the public via phone and email as directed, ordering supplies and equipment, filing, clipping/printing relevant press coverage.

Provide staff support for Board of Director meetings, Executive Committee meetings, Annual Meeting, Committee meetings, including helping assemble and distribute agendas and attachments for meetings, assisting with taking notes/minutes and preparing them for review, as well as maintaining them in binders. Sending out Outlook calendar invites for meetings and following up to ensure attendance.

Assist with preparing attachments for State/City funding requests and payment demands.

Assistance with all special events produced by the BID, upon assignment (including set-up, break-down, sound support, and information support – handing out materials for the BID and gathering contact information to add to our newsletter.

Overseeing filing and maintenance of file cabinets – working with Executive Director to create and expand systems.

Work with the Bookkeeper on Thank you letters for donations and sponsorships.

Entering email addresses into Constant Contact to build our newsletter list.

Pick up and process mail from USPS mailbox.

Qualifications:

2-4 years experience or a combination of education and experience

Fast learner, self-motivated and creative

Detail-oriented and organized

Personable, customer service-oriented, and a team player

Communicates effectively (verbally and in writing)

Able to prioritize tasks and meet deadlines

Background in business administration and knowledge of BID and NYC government agencies are helpful, but not required

Bilingual preferred but not required
