Overview:
Our Brooklyn-based company is seeking a friendly, organized, and diligent Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As the first point of contact for our company, the ideal candidate will have a welcoming presence, strong communication skills, and the ability to handle the demands of a busy office environment.
Responsibilities:
Greet and Welcome Guests: Be the first point of contact for our guests. Greet and direct visitors with a positive, inviting attitude.
Communication Management: Answer, screen, and forward incoming phone calls while providing basic information when needed.
Scheduling: Maintain appointment calendar for clients and staff, schedule meetings, and update calendars as necessary.
Mail and Deliveries: Receive, sort, and distribute daily mail/deliveries.
Administrative Support: Assist with various administrative tasks including photocopying, faxing, filing, and organizing documents as required.
Office Maintenance: Maintain the security and cleanliness of the reception area, ensuring it is well-organized at all times.
Report Keeping: Update logs and databases with visitor and staff information as needed.
Qualifications:
Proven work experience as a Receptionist, Front Office Representative, or similar role.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Hands-on experience with office equipment (e.g., fax machines and printers).
Strong communication and people skills.
Good organizational and multitasking abilities.
High school degree; additional certification in Office Management is a plus.
