Administrative Assistant Trainee 2: One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.Administrative Assistant 1: Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. Certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.Reassignment & Transfer Opportunities: Current New York State Department of Health employee with permanent or contingent permanent status as an Administrative Assistant 1, Grade 11, OR current New York State employee with one or more years of permanent, contingent-permanent, or 55 b/c service as an Administrative Assistant 1.OR: Current New York State employee with one or more years of permanent, contingent-permanent, or 55b/c service in a position allocated to Grade 6 or above, and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy Preferred Qualifications: The preferred candidate will have the ability to work with a diverse group of professionals. They will have excellent organizational skills; the ability to prioritize multiple assignments; excellent written and verbal communication skills; the ability to work independently and as part of a team; and will be proficient in Microsoft Office Suite, SharePoint, and WebEx. Duties Description The Bureau of Special Investigations (BSI) is an investigative office within the New York State Department of Health, Division of Nutrition. The Bureau of Special Investigations (BSI) investigates waste, fraud, and abuse within the Special Supplemental Nutritional programs.The Administrative Assistant (AA) 1 will provide critical administrative office support in the Metropolitan Area Regional Office (MARO) for the Bureau of Special Investigations (BSI). Duties will include triaging telephone calls and routing calls to the appropriate staff; maintaining electronic and other program files; preparing documents and correspondence; maintaining calendars for program staff’s official duties, meetings, and vacation schedules; scheduling meetings including WebEx and creating agendas; starting WebEx meetings and documenting meeting minutes; processing mail and routing official correspondence appropriately both internally and externally; and performing all general office duties for leadership and program staff within the MARO BSI office. Additional Comments Full-time, permanent competitive or non-competitive appointment. Appointment may be made at a trainee level. A two-year traineeship leading to Administrative Assistant 1, Grade 11, is in effect. If placed at a trainee level, trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency.
