ResponsibilitiesGeneral Purpose:Performs administrative functions for the Counseling Center and is the principal liaison to other University Offices for matters related to student status and mental health concerns. Manages staff Human Resources including supervising clerical support staff, trainee recruitment and credentialing; prepares and administers the departmental budget. The Administrator also participates in policy and procedure development and serves as principal assistant to the Director, University Counseling Center.Responsibilities:BUDGET

UCC P Card approver; Assists with Workday expenses related to reimbursements for faculty, staff, and students.

Tracks professional development spending by faculty, staff and trainees.

HUMAN RESOURCES:

Coordinates recruitment,hiring, and onboarding of all temporary training positions (fellows, interns, practicum students, etc.) and permanent staff and faculty, including credentialing, licensing, appointments, pay, benefits and the like as appropriate.

Advertises positions, maintains candidate files and coordinates interview scheduling.

Participates in recruitment of senior staff as directed by the Director, UCC.

Facilitates the onboarding process for incoming faculty and staff, adhering to the AAAHC and URMC standards where applicable.

Oversee UCC payroll practices and procedures, serves as timekeeper and processes PAFs.

Manages internal HR components, including maintaining internal vacation, sick, and Professional Development time for staff/trainees.

SUPERVISOR:

Supervises UCC Intake Coordinators, including recruitment, employment decisions, scheduling, weekly supervision meetings, evaluation and ongoing training.

Provides direct support and coverage during busy periods and staff absences.

Supports Intake Coordinators in managing crisis situations.

ADMINISTRATION:

Represents UCC and serves as initial contact and liaison for departments and schools in communicating instructions and interpreting UCC administrative policies and procedures to students, parents, faculty, staff and the public. Demonstrates sensitivity to confidentiality concerns and the nature of crisis situations.

Coordinates mandated mental health assessments and medical leave evaluations, including processing of confidential paperwork.

Provides executive assistance to the Director, UCC,coordinating meetings and managing confidential correspondence.

Aids in planning and completion of projects initiated by the Director.

Composes instructions to follow-up and complete projects.

Provides and/or delegates support for the Director of Training, Clinical Case Manager, and Clinical Director.

Particiates in monthly and weekly meetings and keeps minutes on Senior Staff meetings.

Other duties or projects as assigned, including:

Assists in space management, maintenance, moves and renovations; plans, consults, and coordinates activities with River Campus Facilities, Telecommunications, outside vendors, and contractors.

Interacts with Housekeeping, Public Safety, and other University departments, and other similar duties.

Qualifications:

Bachelor’s degree

Master’s degree

Three years experience in healthcare setting, including at least two in a supervisory capacity and overseeing budget duties

Equivalent combination of education and experience accepted.

Excellent communication and interpersonal skills with expertise in a team setting. Strong customer service skills.

Excellent organizational skills and ability to develp and maintain clear record-keeping systems. Strong problem solving ability.

Proficient in Microsoft office products, use of an electronic health record and knowledge of mental health practice standards.
