ResponsibilitiesPOSITIONS SUMMARY:The Operations Coordinator in Specimen Management under the direction of the Supervisor and input from the Chief Supervisor oversees all aspects of the daily operations in the laboratory specific section of Specimen Management. The Operations Coordinator will provide technical supervision of section and is accountable for the professional conduct and technical performance of personnel within area. The operations coordinator will enhance the growth of staff through areas of staff development and training personnel in day-to-day operations.RESPONSIBILITIES:Standard office equipment such as multi-feature ACD telephone, PC, copier, printer, scanner, fax machine, and the like. Software systems such as Laboratory Information System (LIS), Hospital Information System (HIS), and related software applications. Laboratory equipment may include operations of pneumatic tube system, centrifuge, automated pipette system, biosafety cabinet, OnBase Scanner, cassette maker, and pre-analytical laboratory automation system as applicable per laboratory section.

Ensures adequate staffing levels. Plans for section specific assignment schedule and post schedules in advance. Approves changes to the schedule and communicates changes to appropriate individuals. Holds staff accountable for the accurate and timely completion of assigned activities.

Monitors TAT on a regular basis, report findings and holds staff accountable for the accurate and timely completion of assigned activities in order to maintain and improve processing times.

Investigates and completes Incident Reports and Laboratory Errors. Reports suggestions for correction action and follow up with written documentation when necessary. Enters patient related errors into hospital reporting system. Follows up with staff, Training and QA Coordinator to identify and address common laboratory errors.

Develops and coordinates the roll out of new procedures and/or evaluates new processing methods to offer a high level of performance for pre-analytical testing.

Continuously assesses work processes and makes suggestions to supervisor for improved work methods and ways to increase efficiency, reduce costs, and solve operational problems.

Participates in the Personnel Performance review process. Discusses and documents promptly any personnel issues with supervisor. Monitors and assess staff competency annually.

Implements and maintains strict Quality Control over assigned section. Responsible for documenting errors in QA Vision. Participates in QA initiatives, scheduled audits and collects data required for on-going monitors.

Ensures that staffs follow laboratory policies and procedures, including safety and security. Ensure staff are compliant with mandatory in-services.

Assumes responsibility for channeling information to and from designated shift or section specific areas. Recognizes the importance of communication and utilizes the staff “Huddle” approach to engage staff in day to day communications of operations.

Monitors and coordinates the ordering of section supplies. Contacts hospital approved vendors and places orders as needed.

Ensures that instrumentation, equipment and supplies are kept in good working order. Arranges for additional maintenance service as needed and in accordance with established laboratory policy.

Works with supervisor (s) and other laboratory staff to plan for and accomplish departmental and organizational goals and objectives. Promotes and supports a positive team environment within the laboratory. Participates in ongoing project teams related to section specific goals.

Develops and maintains procedure manuals, training manuals, check lists, training records/competency and job aides. Responsible for annual review of all documents.

Maintains department in technical readiness to meet regulatory compliance standards for New York State and any other regulatory agencies inspecting laboratory section.

QUALIFICATIONS:Associate’s degree in science or a related discipline with 1-2 years of clinical laboratory or medical experience; or an equivalent combination of education and experience. Knowledge of medical terminology, anatomy/physiology a plus.
