GENERAL PURPOSE:The Lead Physician Support Specialist provides support to the General Cardiologists Monroe County. The lead position is responsible for creating the training materials and onboarding of new support specialists for Cardiology. Works closely with Admin leadership on overall distribution of scheduling work, monitor of orders queues and pools in order to ensure timely work across the general cardiology team. Creates and maintains operating procedures and training manuals for PSS training. The Lead Physician Support Specialist is responsible for using independent judgement and initiative, performs routine and non-routine clerical duties and supports of onsite and regional activities of a team of physicians, APP and RN’s. Also requires scheduling in-hospital cardiac and outpatient procedures. This position requires attention to detail, the ability to prioritize tasks and be familiar with working with computers. This position also requires working knowledge of privacy and other policies and procedures in daily contact with confidential information and material. Candidate must be able to work independently and in specialized natural and in an extremely busy environment with excellent organizational skills required.JOB DUTIES AND RESPONSIBILITIES:
Assess and triage incoming calls. Gather pertinent medical information at the time of scheduling (from patient, referring physician and other health care professionals). Evaluate urgency of response and communicate messages in a timely fashion. Communicate medical information to patients, and messages to other callers, as directed by physicians, nurses and APPs. Must project professional image to allow collection of accurate and complete medical information, while maintaining patient confidentiality issues.
Act as liaison for contacts to local and regional physicians to facilitate securing of new referrals.Scheduling time commitments and coordinating with patient schedules. Compose routine and non-routine correspondence, and materials for educational and professional activities as needed. Record and distribute meeting minutes.
Oversee scheduling of patients for out-patient visits and ancillary tests. Responsible for ensuring test results are received, reviewed and appropriately filed. Verify HMO referrals as appropriate. Template management for providers and consistent PSS scheduling across Monroe county providers
Creation and Maintenance of Training Materials. Onboarding training of new PSS team members. Assists in ensuring PSS policies are created and trained and facilitates team atmosphere
Possesses the knowledge to use the EMR system to schedule outpatient visits, tests, and hospital procedures. Maintains responsibility for own EMR in basket as well as the in baskets for any pools assigned to. Possesses the knowledge, skills, and abilities to support the Medical Records department as needed.
Works closely with Cardiology Admin in reviewing metrics across Monroe County General Cards providers to meet metrics for Ambulatory. Assists in ensuring coverage across division.
Contributes to operations including supply maintenance, and opening and closing of facility as needed. Solves operational problems and provides direction to coworkers. Cross-coverage in shared clerical office; on call schedule, & special projects and other responsibilities as assigned.

High school diploma or equivalent required
Associates degree in Medical, Secretarial, Billing or related field preferred.
Minimum of 2 years of relevant experience required
1 year of leadership experience preferred;
or equivalent combination of education and experience required
Demonstrated customer service skills required
Medical Terminology, experiences with procedural/appointment scheduling software and electronic medical records, preferred.
