Description We are offering an exciting opportunity for a Meeting Planner in Rochester, New York. This role is in the Payroll Services industry, and offers a long-term contract employment opportunity. The Meeting Planner will be responsible for managing and coordinating meetings, maintaining accurate records, and providing excellent customer service.Responsibilities: Manage and coordinate all aspects of meetings and events, ensuring they run smoothly and meet objectives. Maintain accurate and up-to-date records of all meetings and events, including attendees, agendas, and outcomes. Liaise with various departments and external stakeholders to ensure all necessary arrangements are made for meetings and events. Provide excellent customer service, responding promptly and effectively to all inquiries and issues. Utilize basic office skills to perform administrative tasks related to meeting planning, such as preparing materials, scheduling rooms, and coordinating refreshments. Monitor customer accounts and take appropriate action as required, ensuring all accounts are up-to-date and accurate. Process customer credit applications accurately and efficiently, ensuring all information is correct and all necessary documentation is provided. Resolve customer inquiries in a timely and effective manner, providing information and assistance as needed. Be proactive in identifying potential issues or improvements in the meeting planning process and take action accordingly. Work collaboratively with the team to achieve objectives and deliver excellent service to customers. Requirements Possess a minimum of 2 years of experience in a Meeting Planner role or a similar role within the Payroll Services industry Display strong communication and interpersonal skills Proficiency in basic office skills such as handling phone calls, managing paperwork, and maintaining office equipment Demonstrate the ability to organize, plan, and execute meetings and events, both virtual and in-person Show proficiency in using Microsoft Office Suite, particularly Word, Excel, and PowerPoint Have experience in negotiating contracts with vendors and suppliers Possess strong problem-solving abilities and can work well under pressure Exhibit excellent time management skills and the ability to meet deadlines Show a high level of attention to detail and accuracy A bachelor's degree in business administration or a related field is preferred Knowledge of budgeting and financial management is desirable Experience in using event management software or platforms is advantageous Ability to work both independently and as part of a team.
