Physician Support Rep III

ResponsibilitiesGeneral Purpose:With minimal direction and considerable latitude for independent judgment, performs complex secretarial and administrative duties in a fast-paced environment in support of clinical, educational, and academic programs. Responsible for procedure preparations and management while optimizing lab schedule, coordination of patient care and information/data support.Responsibilities:Procedure Scheduling

Decides, using independent judgment, the order of daily procedures based upon patient’s medical conditions and severity. Authorizes rescheduling when cancellations occur by applying protocols for procedure scheduling.

Based on the nature of the procedure, varies patient education, and follow up details accordingly in relation to pre-operative readiness and post-operative rehabilitation expectations and activities. Is accountable for completeness of all relevant information.

Provide information and arrange for transportation, lodging and other needs customized to the individual patient.

Scheduling Management

Coordinate overnight accommodation and transportation arrangements as needed.

Arrange patient transfers to and from certain facilities and arrange hospital admissions as necessary.

This includes but is not limited to communicating with internal and external customers (primary care, referring physicians), obtaining referral information, insurance pre-authorizations, scheduling consults, tests, procedures as well as coordinating support staff and resources.

Finds missing orders and pends them for review and approval. Anticipates needs of insurance companies by gathering all necessary information for referrals and prior authorizations.

Intake patients and family in Cath/EP Waiting Room. Chart and file for cases and manager front desk waiting room.

Obtain clinical information and documents from care providers. Includes gathering lab data and ancillary test reports from outside the university and facilities outside the Rochester area.

Communications

Triage incoming calls, determining the appropriate resource for clinical responses and completing follow-up communication with caller. Assesses calls to understand patient needs, prioritizes medical concerns and obtains responses from providers and follows up with patient.

Communicate scheduling sequence to patients, providers, vendors and referring physicians.

Provide patients with limited test explanations and instructions for upcoming procedure. Confirm case date with patients as needed.

Other Duties

Perform cross coverage, miscellaneous duties and special projects as assigned. May train and coordinate activities of peers or support staff.

Qualifications:

High school diploma or equivalent required.

Associates degree in Medical, Secretarial, billing or related field preferred.

1-year experience required.

1-year leadership experience preferred;

or equivalent combination of education and experience required.

Demonstrated customer service skills required.

Medical Terminology, experiences with surgical/appointment scheduling software and electronic medical records, preferred.
