ResponsibilitiesPosition Summary:The Senior Director is responsible for planning and executing high-quality, creative, and strategic fundraising, cultivation and stewardship events in support of the philanthropic and engagement priorities of the Medical Center. He/she leads a 6-person team and works in close collaboration with volunteers, medical center leadership, and URMC Advancement colleagues to develop and achieve specific goals for each event, including those related to participation/attendance, fundraising, and pipeline development. The Senior Director serves as the liaison to the central Advancement Events team and serves as the URMC representative on Advancement-wide committees that are focused on planning and policy related to events and engagement.Responsibilities:

Leads efforts to plan, execute, manage, and evaluate the success of major fundraising events for the Medical Center. These events, which gross in excess of $3M annually, currently include the Highland Hospital Gala, the Wilmot Cancer Institute Discovery Ball, the Toast to Your Health Wine Auction, the Highland Golf Outing, and the Ontario-Yates Hospice Winemaker’s Dinner.

Leads efforts to plan, execute, manage, and evaluate the success of strategic engagement and stewardship events including, but not limited to, dinners, salons, lectures, Medical School for an Evening, lab and facility tours, award ceremonies, donor recognition events, and URMC leadership events.

Supervises a team of six professionals. Develops team and individual goals, assigns projects, and manages performance.

Manages volunteers, including event chairs and committee members. Develops and implements plans to expand volunteer participation in major events, working closely with URMC Advancement colleagues to identify potential chairs and committee members. Maintains regular and effective communication with event chairs and committee members to ensure a positive volunteer experience.

Develops solicitation strategies and materials for event sponsorships, in-kind gifts and services, funds in need, and ticket sales. Works closely with URMC Advancement colleagues, volunteers, and the Office of Corporate Relations to execute these solicitation strategies. When appropriate, he/she is responsible for personal solicitations of sponsorships and gifts-in-kind and services, and assists committee members with personal solicitations by preparing solicitation materials and completing follow-up.

Serves as liaison to the central Advancement Events team, ensuring coordination and communication related to event planning across the entire organization. Ensures all members of the URMC Advancement team who have event planning responsibilities, including GCH, WCI, and Academic Programs team members, have the information and resources they need to effectively execute events. Also provides guidance and advice to these team members, as appropriate. Serves as the URMC representative on Advancement-wide committees that are focused on policy and planning related to events and engagement. Provides input and ideas for Advancement-wide events, when appropriate.

Oversees event budgets, manages financial projections, and ensures that cash gifts and gifts-in-kind are pre-processed and remitted to Gift and Donor Records (GDR) in an accurate and timely manner, complying with IRS regulations and GDR policies. Ensures gifts are acknowledged correctly and swiftly. Manages invoicing for pledge payments due, consults with URMC Advancement colleagues and leadership team as appropriate regarding outstanding pledge balances. Ensures monies are transferred in a timely manner to the appropriate beneficiary/beneficiaries.

Bachelor’s degree

Minimum of ten years of experience in special events planning, preferably in a higher education or academic medical center setting, or equivalent combination of education and experience.

Ability to work effectively and diplomatically with a wide range of individuals, including major donors, corporate representatives, vendors, URMC leadership and faculty, PR/Marketing/Communications colleagues, influential volunteers, and Advancement colleagues in pursuit of fundraising and engagement goals.

Outstanding interpersonal communication skills, both verbal and written.

Ability to effectively prioritize and manage multiple projects/events in a fast-paced team environment. Outstanding leadership and organizational skills.

Ability to adapt to change and problem solve; calm and solutions-driven.
