Description We are offering a contract to hire employment opportunity for an Administrative Assistant in Oklahoma City, Oklahoma. This role functions within the support system for our program, focusing on office management, record keeping, and report preparation. The successful candidate will also be responsible for coordinating activities and providing assistance with services related to program transitions.Responsibilities: Maintain records on various departmental matters such as attendance, staff education and qualifications, purchases, maintenance requests and supply inventory Handle incoming correspondence, reports, forms, and memoranda, both written and electronic, under the direction of the Department Director Design and update departmental forms as needed Monitor the on-going activities of the Policy Council and in-service training Work with representatives from various training agencies and institutions to assure staff participation in needed training Develop, implement, and monitor compliance of an Agency Transition Plan Collaborate with other agencies, programs, and providers to assure smooth transition into and from the Head Start Program Serve as part of planning/preparation team for audits, reviews, and monitoring processes Serve as part of the program design and management team Attend meetings, seminars, trainings, etc., as directed Provide training and/or materials to field staff and parents regarding transportation/pedestrian safety and bus monitor regulations. Skills: Answering Inbound Calls Customer Service Data Entry Email Correspondence Inbound Outbound Calls Microsoft Excel Microsoft Outlook Microsoft PowerPoint Microsoft Word Schedule Appointments Requirements Proficiency in Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word Experience in answering inbound calls and handling inbound and outbound calls Exceptional customer service skills Ability to perform data entry tasks with high accuracy Familiarity with email correspondence and ability to respond promptly and professionally Capability to schedule appointments, manage calendars, and coordinate meetings Strong organizational skills with attention to detail Excellent verbal and written communication skills Ability to multi-task and prioritize tasks in a fast-paced environment Proven problem-solving abilities Ability to maintain confidentiality and handle sensitive information with discretion Prior experience in an administrative assistant role is beneficial.
