Executive Assistant/Coordinator (Remote Hybrid)

OverviewGovCIO is seeking an Executive Assistant/Coordinator to support day-to-day operations for the Senior Vice President of the Veteran Enterprise Technology Solutions (VETS) Health and Treasury (VETS HEAT) sector and leadership team. The Executive Assistant/Coordinator will be primarily dedicated to executive tasking, and will work with the executive daily onsite in or near Rockville, MD. This position will be a hybrid position with 25% travel to offsite location (2-3 days/week) as well as remote work. Core hours of operation are Monday to Friday 8 AM to 5 PM ET.Responsibilities

Communicate and interface with enterprise-wide partners, executives, and sector leadership team and staff

Independently establish and manage appointment priorities

Coordinate the day-to-day office operations, including, but not limited to, problem and conflict resolution, organization, prioritization of tasks, and responding to written communications

Move tasks or projects towards completion including program or portfolio planning, coordination, and executive level meeting minutes and PowerPoints

Review outgoing and incoming correspondence for executive level’s approval and alert stakeholders of any discrepancies to any conflict with the file or departure from policies or executive level’s viewpoints; make recommendations to resolve problems that might arise

In the Executive’s absence, ensure that requests for action or information are relayed to the appropriate staff in a timely manner

Coordinate domestic travel and prepare Costpoint expense vouchers for approval

Support Business unit teams with travel and meeting coordination, meeting agendas/minutes as needed

QualificationsRequired Skills and Experience:

Bachelors Degree with 2 - 5 years (or commensurate experience)

Analytical Thinking – Knowledge of techniques and tools that promote effective analysis and the ability to determine the root cause of organizational problems and create alternative solutions that resolve the problems in the best interest of the business

Excellent Communications – Understanding of effective communication concepts, tools, and techniques; ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviors; ability to effectively write/technical writing; and ability to understand and translate technical approaches and methodologies

Must have discretion and integrity for the sector’s mission

Extensive attention to detail

Flexibility and forward-thinking in a fast pace high demand environment

Must possess strong written and verbal communication skills

Must be highly proficient in Microsoft Word, Excel, PowerPoint and Outlook

Demonstrated independent problem-solving skills

Confident and comfortable meeting tight deadlines

Must be able to obtain and maintain a security clearance with Internal Revenue Service and Department of Veterans Affairs
