Position Overview

The Assistant Office Manager supports the daily administrative operations of SERVPRO of Southeast Portland, ensuring smooth office workflows, accurate documentation, and excellent customer and team support. This role requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced restoration environment.

Key Responsibilities

Assist the Office Manager in overseeing daily administrative and office operations.

Manage customer communications—answer phones, respond to emails, and provide updates with professionalism and empathy.

Support job file coordination, including documentation, scheduling, and data entry in SERVPRO systems (Xactimate, DryBook, or WorkCenter).

Create, review, and maintain job files to ensure completeness and accuracy.

Assist with billing, collections, and insurance claim documentation.

Track and report on job progress, ensuring all documentation meets SERVPRO and insurance standards.

Coordinate with production teams to schedule jobs, inspections, and follow-up appointments.

Maintain office supplies, equipment, and vendor relationships.

Support payroll processing, timesheet reviews, and HR documentation as needed.

Help onboard and train new administrative staff when applicable.

Maintain confidentiality and professionalism in handling customer and business information.

Assist with marketing and community outreach efforts as directed.

Provide backup support for Office Manager and other departments as needed.

Qualifications

2+ years of office administration or management experience (preferably in restoration, construction, or insurance industries).

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Strong organizational, multitasking, and communication skills.

Ability to work independently and collaboratively in a team-oriented environment.

High attention to detail and accuracy under deadlines.
