As we continue to grow, we are seeking a detail-oriented and organized individual to join our team as a Part-Time Scheduler & Administrative Assistant for Seminars and Workshops.

Job Overview:

We are looking for a motivated and reliable Part-Time Scheduler & Administrative Assistant to support our team with scheduling, appointment setting, and general administrative tasks related to our seminars and workshops. This role is critical in ensuring our events run smoothly and that our clients receive exceptional service. Assistance is required calling workshop attendees and confirming the guests presence at the workshop as well as helping with signups and scheduling appointments at the workshop. Workshops are 2 days out of every month. About 10 hours of work is required during that given week.

Key Responsibilities:

Scheduling & Appointment Setting: Coordinate and schedule client appointments, seminars, and workshops. Manage the calendar for our financial advisors and ensure timely reminders are sent to clients.

Client Communication: Serve as the first point of contact for clients attending seminars and workshops. Confirm appointments and provide relevant details to clients.

Event Coordination: Assist in the preparation and organization of seminars and workshops, including managing RSVPs, preparing materials, and coordinating with venues.

Follow-Up: Conduct follow-up calls and emails with clients who attended seminars to schedule consultations and gather feedback.

Experience: Prior experience in scheduling, administrative support, or customer service is preferred. Experience in the financial services industry is a plus.

Skills:

Strong organizational and multitasking abilities.

Excellent communication and interpersonal skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with CRM systems.

Ability to work independently and handle sensitive client information with confidentiality.

Working Hours:

This is a part-time position requiring 10-12 hours per week (1 week out of the month). Flexibility to work some evenings for seminar and workshop support is necessary.

Compensation:

Competitive hourly rate, commensurate with experience. ($25-$40/hr)
