Customer Service Representative

The Customer Service Representative is responsible for administrative, customer service and various financial duties of the collision center in accordance with collision center policy. This person must exhibit professionalism and highly efficient work habits, continuously striving to improve the efficiency of the office and overall operation of the business.

Duties may include but are not limited to:

Perform the initial greeting of all customers either walk-in or phone.

Answer incoming phone calls

Perform vehicle check-in process for all customer estimates. Obtain all information required to perform estimate and enter that information into CCC estimating system.

Process paperwork on all vehicle repairs. Build files and open repair orders. Perform complete walk around with the customer and look for prior unrelated damage.

Assist customer with alternative transportation. Set up car rental or loaner when needed. Arrange private transportation when required. Set up towing for all non-drive cars.

Update all customers no less than 3 x per week.

Perform complete walk around with the customer to verify repairs and complete satisfaction.

Disburse and explain final bill, warranty and CSI information to customers.

Make post-repair follow up calls to insure customer satisfaction.

Follow up on insurance billing, A/R.

Prior to delivery, review billing documentation and supplements. Verify that proper payment has been secured. Collect any and all monies due from the customer.

Skills & Abilities Requirements:

Work independently without close supervision.

Flexible / adaptable to constant change.

Strong tact and diplomacy; ability to interact with all levels of personnel.

Highly organized; ability to handle multiple concurrent assignments.

Ability to prioritize, organize and plan work under own initiative.

Strong communication skills (reading, writing, speaking, listening).
