The McCourtney Institute for Democracy in the College of the Liberal Arts is seeking an Administrative Assistant. Working closely with Institute Directors and the Communications Specialist, this person will assist with all operational, budgetary, events, and administrative duties associated with the Institute.Responsibilities include but are not limited to:Managing operational and administrative processesMonitoring and maintaining the Institute's internal budget(s) to include stewardship of endowment accounts, tracking expenditures against charges, as well as processing requests for various financial transactions such as travel reimbursements, group meals, honorarium payments, and reconciliation of purchasing card chargesProviding detailed ongoing budget reports and forecasting balances to plan for expenditures, compiling detailed information for annual budget reportsArranging and providing logistical support for meetings, visits, and events (including conferences, speaker series, and the Nevins Democracy Leaders program) and when appropriate, coordinating with relevant departments including Alumni RelationsHiring part-time hourly student research employeesEditing, prooing, and producing correspondence, updates, and mailingsAssist in developing social media posts, graphics, and flyersOrganizing, preparing, and attending weekly staff meetingsCommunicating with and assisting undergraduate students regarding fellowships/internshipsSubmitting work orders for facilities maintenance requestsMaintaining Institute records and filesAfter training, the Administrative Assistant will frequently use: Microsoft 365, SAP Concur, CollegeNet-25Live, as well as the following which are specific to Penn State: Workday/WorkLion (central resource for HR services, payroll, attendance, etc.), eSteward (database related to alumni gifts and endowments), and SIMBA (Penn State's System for Integrated Management, Budgeting and Accounting).Benefits include (visit https://hr.psu.edu/benefits for more detailed information):Medical, dental, vision, and retirement plans75% tuition discounts (including for a spouse and dependent children up to the age of 26)Generous vacation and sick time15 paid holidays/campus closure daysEducation and Experience: This position will be filled at the level of Intermediate Support, which requires a minimum of a High School Diploma/GED or Vocational Training/Degree for education and two years of relevant experience, or an equivalent combination of education and experience.Financial/budgeting and event logistical support experience is preferred.Other Qualifications Include:Excellent written and verbal communication skillsAbility to work independently and as a member of a teamExcellent organizational and time-management skills; attention to detailCandidates should also have general computer skills with a solid familiarity of Microsoft Word, Excel, Teams, and Outlook; as well as an ability and willingness to learn other job-related software.In addition, successful candidates must either have demonstrated a commitment to building an inclusive, equitable, and diverse campus community, or describe one or more ways they would envision doing so, given the op ortunity.Additional Information: To be considered, applicants should upload a cover letter and resume.The College of the Liberal Arts is supportive of flexible work arrangements when aligned with the ability to meet the needs of the unit and the essential duties of the position.
