The successful candidate for this position will have the opportunity to join UTA during an exciting period of growth and contribute as the university broadens its impact.Job Summary Responsible for performing specialized clerical duties for the Marketing department and supporting the department Chair, faculty, and administrative assistant. The Marketing department consists of approximately 20 faculty along with doctoral students and master’s graduate teaching assistants. The Support Specialist will assist the administrative assistant with the coordination of the department main office and the support of all faculty, staff, and student needs.Essential Duties and Responsibilities

Facilitate front office operations:

answers and routes calls, mail, and department email, greets students and visitors and refers them to appropriate on-campus resources as needed.

Maintain breakroom and office inventory and equipment and order office supplies, coordinate purchase and installation of software for faculty and PhD students.

Process and submit for approval: purchase orders, voucher payments, petty cash, deposits, official occasion expense forms and other departmental expenditures utilizing the MAVS eShop and/or issued ProCard.

Maintain office key inventory and key card access control.

Administer all departmental travel for faculty, PhD students and departmental guests, including setting up travel and processing reimbursements.

Assists Chair with term departmental schedule, coordinating with Registrar’s office to add/drop courses, set up course information, and publish departmental schedule for office staff, faculty, and students.

Coordinate with the College of Business Advising staff to assist with student exception/manual registration.

Provide faculty office hours and details for students on a term basis.

Verify and track faculty data in Canvas, Mentis and/or Digital Measures, including course syllabi on a term basis.

Reconcile ProCard and maintain Excel spreadsheets for faculty expenditures as needed by the Chair and Administrative Assistant.

Coordinates departmental meetings, workshops. and events with other front office staff, faculty, and committees:

reserves space, secures catering, parking, and other required hospitality functions. Produces event programs, nametags, and other related deliverables for events.

Composes moderately complex correspondence and sends out routine correspondence, form letters and announcements.

Examines statistics, manuscripts, and reports for accuracy of specific data.

Assists with departmental timekeeper duties.

Assists with supervision of office GTAs.

Serve as liaison with other departments on campus as needed.

Performs other duties assigned.

Required Qualifications

High School Graduation with three (3) years of secretarial experience or equivalent relevant experience.Preferred Qualifications

Bachelor’s degree.

Three (3) years upper-level secretarial experience.

General understanding of basic accounting principles and practices and working knowledge of general ledger processing.

Thorough knowledge of Microsoft Office products to include Word, Outlook, Excel, and other similar software.

Experience with PeopleSoft, UTShare, MAVS eShop, Access Wizard, ASTRA Scheduling, EMMA .
