Description We are offering a contract to hire employment opportunity for an Administrative Assistant in Dallas, Texas. Working in the multifamily industry, this role will require a strong understanding of property operations and compliance. The Administrative Assistant will be tasked with a range of duties from income verification to preparing paperwork, with the ultimate goal of maintaining the smooth operation of our business.Responsibilities: Greet visitors and handle telephone traffic in a professional manner Utilize OneSite Affordable Database software for processing rental payments and other tasks Maintain a waiting list of applicants and determine their eligibility Collaborate with third parties to verify all sources of income and assets Prepare and complete income certifications and forward them to the Compliance Department for review Monitor resident renewals and re-certifications on a monthly basis and schedule recertification appointments with residents Assist residents in completing recertification paperwork in a timely and accurate manner Review previous year files during recertification preparation to ensure compliance Prepare and maintain a list of all delinquent rents and follow up with site staff to resolve issues Assist the Property Manager in the preparation of daily and monthly reports, resident communications, move-out inspections, and market surveys. Requirements Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint Ability to handle inbound and outbound calls with professionalism and excellent customer service Strong data entry skills with an eye for accuracy and attention to detail Experience in managing and scheduling appointments efficiently Excellent written and verbal communication skills for email correspondence Ability to provide high-quality customer service, resolving queries and issues effectively Ability to multitask and manage time effectively in a fast-paced environment Strong organizational skills with the ability to prioritize tasks effectively Demonstrated ability to maintain confidentiality and handle sensitive information Proven track record of reliability and responsibility.
