Administrative Assistant

Description We are seeking an Administrative Assistant to join our team in Dallas, Texas. This role involves a wide range of administrative tasks and requires excellent organizational and customer service skills. This is a contract to hire employment opportunity, providing administrative support across various office divisions.Responsibilities: Professionally handle and direct incoming calls, ensuring a positive and welcoming communication. Efficiently manage all incoming and outgoing mail and packages. Welcome, assist, and direct guests or visitors in a courteous manner. Oversee visitor logs, parking, security badges, and other related tasks. Reserve and manage meeting rooms as required. Aid in office management and organization processes. Provide support to other office divisions, addressing general questions and concerns. Maintain cleanliness and organization of the front desk, conference, meeting, training, common guest, and employee areas. Manage inventory of office and kitchen supplies across all company locations. Facilitate company-wide communication and announcements. Assist in planning, organizing, supporting, and cleaning up after company-sponsored and employee events. Support internal office and employee webinars, meetings, and events. Facilitate deliveries, maintenance, and repair services related to office equipment and building maintenance. Prepare business cards for employees and manage their distribution. Offer a variety of services to support department heads, including copying, faxing, taking notes, arranging transportation, and assisting with travel arrangements. Requirements Proficiency in Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint Excellent customer service skills and experience dealing with both inbound and outbound calls Strong data entry skills with attention to detail and accuracy Ability to schedule appointments and manage calendars effectively Experience with email correspondence, maintaining professionalism and clarity Strong communication skills, both written and verbal Ability to multitask and prioritize work in a busy environment Must be able to work independently as well as part of a team Strong problem-solving skills and ability to think critically Familiarity with office equipment and administrative procedures.
