ResponsibilitiesSUMMARY The Benefits Coordinator provides the support needed to ensure successful processing of benefits, benefit related payroll entries, recognition and awards, and wellness initiatives.This position requires an extremely perceptive person who is capable of relating to individuals at all levels within the organization.ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Administers benefit related tasks necessary to accomplish the organization’s payroll process. Analyzes, prepares and inputs benefit data to aid in the accurate and timely processing of payroll. Continually audits and evaluates internal processes to identify areas of correction and find better efficiencies. Ensures compliance with all applicable state and federal laws.

Serve as back up to the Payroll Specialist. Serves as the payroll auditor to ensure accuracy for each payroll processing.

Creates and provides reporting including but not limited to benefits, recognition and awards, wellness programs, etc., including custom report creation, report scheduling that will help drive better organizational decisions. Prepares weekly, monthly, quarterly and year-end reports pertaining to benefits, deductions, leave balances, wellness, etc., for management as requested. Helps maintain data integrity in systems by running queries and analyzing data.

Participates in training including new employee orientation, developing detailed user procedures, guidelines and documentation for any benefit or rewards related programs.

Assists with day-to-day administration and regulatory reporting of various employee benefit plans including medical, dental, vision, COBRA, life insurance, flexible spending accounts, health savings accounts, disability insurance, retirement plans (401K), EAP, and other unique benefit programs. Communicates benefit features to employees and communicate with benefit vendors and brokers as necessary.

Assist in leave of absence administration. Record approved paid leaves in employee’s time cards as needed. Provide the payroll specialist with paid benefit leave information to ensure proper payroll payments. Coordinate and track repayment of benefit premiums missed while on leave.

Assist with ACA administration. Monitor ADP ACA site for changes and updates based on employee benefit offerings. Record and update employee ACA statuses in ADP accordingly. Verify annual ACA 1094 & 1095 IRS documents, prepare for manager approval, and ensure timely distribution.

Assists in the administration of the company wellness program. Serves as a key participant in the iCare Fit Team committee. Participates in vendor meetings and other wellness program related activities including; scheduling committee meetings, prepare committee documents, and employee communications through various formats. Assists Fit Team in planning and scheduling wellness related activities such as company challenges, webinar and other trainings, etc. Serves as the wellness website administrator to update information and award wellness related awards and points.

Administers employee recognition and rewards program and system. Ensures accurate and timely delivery of applicable service awards. Continually evaluate processes for improvements or enhancements and ensure proper communication to employees.

Administers the company service award program. Work in collaboration with the Project Administration team, Access Services team, Marketing team, the CEO and other departments as necessary to administer the employee service awards program accurately and timely. Order, coordinate, and track delivery of all service awards, anniversary cards, and debit cards. Monitor and order supplies as needed. Maintain tracking sheet of all awards and cost for budget and annual Total Compensation Statements.

Prepares and maintains accurate records and reports related to company benefit programs. Assists with any company or department audits by submitting accurate records and documentation as requested.

Reconciles and submits benefit and Employee Experience related invoices for payment. Assists with general ledger reconciliation as needed, maintains documentation, and prepares and distributes correspondence related to benefits to ensure accurate record keeping and compliance with regulatory agencies, auditors, federal, state and local laws pertaining to employee benefits.

Provides information and assists employees with questions related to payroll, benefit enrollment, eligibility, plan features, provisions, and other matters related to benefits.

Ensures the accuracy of all benefit enrollments and assists with providing vendors with accurate eligibility information as needed. Distributes enrollment materials.

Ensures benefit communication system is utilized to convey important benefit related information and as an avenue for benefits education. Update internal systems with up-to-date benefit related information and distribute required annual benefit notices

Proactively performs quality checks to ensure accuracy on benefits, payroll, and recognition and rewards on a routine and regular basis.

Assists with annual open enrollment and annual biometric screening events Open enrollment responsibilities include but are not limited participating and working with ADP Benefits Specialist to prepare benefit plans and update benefit premiums. Update internal communication systems with updated benefit information. Assist in updating and provided annual benefits guide. Monitor employee enrollment elections in ADP and provide timely communications to employees. Prepare and submit benefit enrollment reports to vendors as needed. Audit benefit enrollments, premiums and wellness discounts for accuracy. Other open enrollment responsibilities as assigned.

Assist with providing benefit metric data as needed. Assists with preparing and collection of benefit survey data on an annual basis or as needed.

Work with Employee Engagement team as needed. Participate in group meetings as well as one on one meetings to offer opinions and scenarios and bring new and innovative ideas to improve efficiencies and processes.

In collaboration with the Employee Engagement team and Payroll Specialist, assists with employee records in accordance with the state and federal retention schedule and ensures benefit records are created, archived and/or destroyed in accordance with the schedule. Ensures records synchronizes with the appropriate system using the most efficient method.

Actively participates in company social events to help demonstrate a positive company culture.
