POSITION OVERVIEWThe Office Experience Manager serves as the central hub of the office, responsible for orchestrating the smooth operation of the office environment by managing the front desk and related duties.  The first point of contact for visitors, clients, and team members, providing exceptional customer service and ensuring all receive a first-class experience at Stream Realty Partners.
This role will encompass a diverse array of tasks, from managing administrative duties to fostering a positive and efficient workplace culture. This is the go-to person for both internal team members and external stakeholders, ensuring that all aspects of the office run seamlessly. A warm demeanor, excellent communication skills, attention to detail,and problem-solving abilities to optimize office processes and enhance the overall workplace experience.RESPONSIBILITIESManages the operations of the office, overseeing all aspects of workplace experience, facilities management, and safety and security.Manages front desk coordinator(s), provides guidance, mentorship, and fosters a collaborative and high-performance work environment.Collaborates with internal and external stakeholders to source vendors, negotiate contracts, and ensure quality service delivery.Develops and implements workplace health and safety protocols, emergency response planning, and compliance measures.Manages appointment scheduling for internal and external conference rooms.Contributes to the development and execution of the overall office and workplace strategy, aligning with company objectives.Greeting and welcoming visitors in a professional and friendly manner. Coordinates with staff regarding visitor arrivals and appointments. Manage all building access for Dallas HQ and validate parking, as needed. Answer and direct phone calls promptly and courteously.Oversees the maintenance, cleanliness, and organization of the office space, including conference room technology, appearance, and readiness for meetings. This includes restocking refreshments as needed and light catering requests. Liaise with building management and/or vendors for inside suite repairs and services.Manages office and breakroom supply inventory for Dallas HQ. Proactively place orders to maintain appropriate stock levels. Maintains a replenishment schedule. Proficient in basic accounting tasks such as invoicing and expense tracking for Dallas HQ vendors. Assists with electronic filing, data entry, and document organization for corporate invoices and payments.Assists in planning employee engagement activities and celebrations. Organize monthly recognition events and Friday office breakfast orders in alignment with the budget. Manages communication for building announcements, birthday announcements, and internal announcements, ensuring accurate and timely relay of information.Responsible for the upkeep of office equipment, including copiers, postage machines, and printers, ensuring functionality and addressing any maintenance needs promptly.Maintains and updates Stream HQ Office Manual as needed.Schedules and coordinates regular headshots with new hires and vendors as needed.Oversees and coordinates all aspects of parking operations at Dallas HQ, including parking garage allocation and permit management.Manages employee onboarding process by preparing onboarding materials, coordinating seating assignments, and leads tours of facility.
