Seeking an Executive Assistant & Operations Manager to support executive co-directors (80/20), interface with vendors, consultants and advisory groups—across a range of organization functions. This multifaceted role is ideal for a detail-oriented, tech-savvy individual who excels in executive support, project coordination, internal operations, and community engagement. The successful candidate will be key in managing priorities, strategic initiatives and daily operations in a growing organization.
Key Responsibilities:
Manage complex calendars, appointments, events, for co-directors.
Organize and respond to email communications, draft and format executive correspondence.
Assist in the preparation of executive-level presentations, reports, and collateral.
Maintain a master project and communication list.
Coordinate leadership meetings, off-sites, and VIP events.
Project & Operations Management
Plan, track, and execute key initiatives, ensuring timelines and deliverables are met.
Monitor budgets, project schedules, and performance metrics; report insights to leadership.
Support contractor onboarding, vendor management, and external contract negotiations.
Develop and maintain internal processes for workflow efficiency and scalability.
Marketing, Social Media, & Communications
Lead content planning and publishing across social media platforms.
Develop and manage marketing timelines, newsletters, and website updates.
Coordinate with internal and external stakeholders on branding and communication strategies.
Track engagement metrics and adapt content strategy accordingly.
Community & Stakeholder Engagement
Serve as the first point of contact for community communications.
Manage CRM data and ensure high-touch community relationship management.
Review and edit community-facing deliverables (e.g., presentations, surveys, reports).
Support community engagement and philanthropic initiatives.
Financial Oversight & Reporting
Track and reconcile invoices, billing, and expense reports.
Manage accounts payable/receivable and support budget forecasting.
Education: High School Diploma required; bachelor’s in business, communications, or related field preferred.
