Anderson Cancer Center is to eliminate cancer in Texas, the nation, and the world through outstanding programs that integrate patient care, research and prevention, and through education for undergraduate and graduate students, trainees, professionals, employees and the public.The primary responsibility of this Administrative Coordinator position is to assist with administrative activities to impact divisional and departmental efficiency and productivity. Performs administrative tasks identified by the Radiation Oncology Department Chair and Administrative Director. Requires independent judgment and initiative. Must have excellent verbal and written communication skills to effectively communicate with all levels of employees, visitors and patients. Requires strong organizational skills with the ability to multi-task. Must be able to work independently with minimum supervision under stressful conditions periodically.Key Functions· Provides comprehensive organization and administrative support for efforts of the Radiation Oncology Department Chair and Administrative Director for efforts of assigned programs to include the administrative support of assigned Department Chairs and Faculty.· Assists the Division Office Administrative Director in general responsibilities as it relates to coordination of division and departmental faculty meetings, retreats, and events.· Coordinates faculty departmental and faculty leadership meetings including organization and tracking of agenda, materials preparation and follow up post meeting.· Coordinate the organization of formal lecture series, program meetings and retreats, including seminar event, travel authorization, hotel, car service, preparing itinerary, reservations, reimbursement, catering and preparing material or equipment.· Responsible for scheduling and coordinating high attendance events.· Schedules seminars and workshops. Includes writing seminar announcements, planning advertising, catering, and visitor travel.· Coordinates and assists with coordination of visiting professors.· Responsible for comprehensive coordination of invited candidate interviews: including grand rounds, travel arrangements, and collects interview comments.· Responsible for coordinating financial and service arrangements with vendors and department leaders which includes preparing, tracking, and approving purchase orders, invoices, and payment activity for vendors.· Develops and maintains recognition reports for division employees and coordinates the appropriate graphics and submission of reports for use in division communications.· Creates and formats presentations, composes and edits correspondence and prepares ad hoc reports as needed. Facilitate the development and production of print, email, and web site informational materials.· Acts as backup for other administrative support personnel.· Other duties as assigned.EducationRequirements: High school diploma or equivalent.ExperienceRequirements: Seven years of administrative or related experience.
