The Document Control Specialist will be responsible for ensuring that documents are correct and consistent across paper and electronic formats. The ideal candidate will have experience with commercial HVAC contracts, as well as having experience in documentation organization relating to industry specific requirements. This role will be a key part of Hunton Engineered Products business, a fabrication and modification business focused in the industrial HVAC & process cooling market.
Lead the effort for attaining and maintaining ISO 9001 and other document ation-based certifications.
Own and manage the Document Management Processes
Provide input on other Project/Document Management programs that may better fit Hunton Service's & other divisions business.
Design and maintain standard ISO compliant document templates for use across divisions, Program, Procedure, Work Instructions, etc.
Draft and maintain a Project Quality Plan for any given project including the Quality activities required on a project and associated metrics.
Review, update as necessary and re-approve documents.
Support Pre-sale efforts by responding to RFQ/RFP
Support Post-sale efforts by working with project management, fulfillment, and QA/QC personnel to ensure client satisfaction and compliance.
Managing RFIs & coordination document s generated before and during a project.
Change Control Management of documents as processes, forms and procedures evolve.
Managing document ation for client review and approval during a project.
Ensure that documents of external origin are identified, and their distribution controlled.
Packaging up the document ation for turnover at the end of the project.
Assist with presale documentation, bid submissions, RFI documentation and turnover documentation.
Perform other duties as assigned by supervisor.
Qualifications:
Experience with achieving ISO 9001:2015 certification.
Prior versions of ISO 9001 will be considered.
3+ years strong experience in Contract Management including presale, bid, RFI, and turnover documentation compilation.
Experience with Project Management Information Systems (PMIS).
Knowledge of the language, terms, principles, and standard practices of records management.
Experience with development of process, procedure, and policy documents.
Strong SharePoint experience as well as Microsoft office applications.
Experience on manufacturing/construction documentation on major programs/projects and similar project types.
Associate or bachelor's degree in related fields preferred, but not required.
