Executive Assistant

Description The ideal candidate for this position will excel if they can keep their calm in a high pressure environment coordinating the logistics of the CEO of the company. The candidate should have some relevant experience to the role that highlights their capability to conduct all administrative work, making sure the CEO's operations run smoothly. Thus, the candidate should be detail oriented and a creative problem solver.Responsibilities

Manage CEO's calendar by scheduling meetings, appointments, and arranging travel details.

Full responsibility for time management, ensuring the CEO's schedule is perfectly organized.

Act as a first point of contact, dealing with correspondence and phone calls on behalf of the CEO.

Prepare necessary documents and materials for meetings.

Take minutes during meetings and distribute them afterward.

Organize and maintain files and records of important company information.

Handle sensitive, confidential information with discretion.

Assist in preparing reports and presentations for the CEO.

Coordinate and plan company events, both internal and external.

Liaise with clients, suppliers, and other staff on the CEO's behalf.

Undertake any necessary administrative tasks to support the CEO's work.

Manage CEO's email inbox and prioritise, filter, and respond to them accordingly.

Assisted with daily office needs and managed our company’s general administrative activities.

Regularly research and prepare briefing notes for the CEO on various topics.

Perform personal assistant duties for the CEO as needed, such as managing personal appointments or errands.

Remain up-to-date on company operations to provide accurate and efficient support to the CEO.

Support the CEO in the preparation and management of budgets.

Maintain professional and positive discretion in representing the CEO to both internal and external constituents.

Work closely with other executives and team members across the organization.

Project manage specific initiatives as directed by the CEO.

Requirements

Qualifications

Bachelor's degree or equivalent experience

Experience supporting a Chief Executive Officer at a $300M+ company

Technology industry experience

Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)

Communication skills, written/verbal

Ability to prioritize and meet deadlines Keep information confidential
