Description We are offering an opportunity for a meticulous and organized individual to join our client's team as an Administrative Assistant based in San Antonio, Texas. In this role, you will primarily be providing administrative support to the Talent Aquisition team! You will be responsible for supporting various administrative functions and procedures, ensuring efficient operations within the organization. This role involves tasks related to talent acquisition, onboarding, HRIS administration, and other administrative functions.Responsibilities: Follow Standard Operating Procedures to support the completion of assigned work Assist in initiating, monitoring, and expediting candidate due diligence for all final candidates Distribute communication to key stakeholders, managers, and new hires regarding onboarding information Serve as the onboarding administrator for our HRIS, including initiating new hire paperwork, completing employment verification, and submitting requirements for new hire processing Maintain an archived repository of candidate due diligence records, employee documents, and weekly reports Create, maintain, and support requests regarding employment records for new, existing, and past employees Provide administrative support to the new hire process including submission of appropriate forms, requests, and distributing welcome gifts Manage our apparel program by providing information to new hires on a weekly basis and coordinating with division apparel coordinators, marketing, and our vendor as needed Answer telephone calls, respond to applicable voicemails, and manage and distribute mail and email Complete administrative functions for our Service Award and Birthday Recognition programs, including preparing and administering certificates and birthday cards to the organization.Requirements Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook. Proven experience in data entry and email correspondence. Ability to schedule appointments and manage calendars efficiently. Experience in talent acquisition and onboarding processes. Familiarity with Administrative Office procedures and Department SOP's. Knowledge and experience with HRIS - Human Resources Information Systems. Strong organizational skills and attention to detail. Excellent communication and interpersonal skills. Ability to multitask and prioritize work requirements. Demonstrated problem-solving abilities and initiative. Relevant experience in a similar administrative role. Ability to maintain confidentiality and handle sensitive information with discretion. Strong ability to work collaboratively in a team environment and independently with minimal supervision. Willingness to learn and adapt to new technologies and processes.
