Preferred Qualifications
Bachelor’s degree.
Experience working in a university academic department.
Proficiency in SAP .
Experience with hiring and processing PCRs.
Accounting experience.
Knowledge of TXST university/academic policies and procedures.
Experience in P-Card management.
Job DescriptionThe Administrative Assistant III provides administrative and clerical support to program chairs, department chairs, deans, or directors.Job Duties
Maintain faculty records, staff, and personnel files and review for completeness.
Complete all hiring paperwork and PCRs for faculty, graduate assistants, staff, and student workers funded from main departmental accounts.
Assist the Chair with the department operating budget and monitor budget records in SAP .
Assist with academic schedules.
Supervise office staff as needed.
Set up course teaching evaluations.
Monitor HB2504 Website for compliance.
Assist with textbook adoptions.
Process facility work orders.
Assist the Chair and coordinate with University Advancement to keep track of departmental endowed account balances and manage funds distribution according to the Scholarship and Award Committee’s recommendations and Chair approval.
Serve as HR Liaison.
Maintain departmental calendars as needed.
Serve as time administrator for the department.
Assist department chair, associate chair, and department committee chairs and other staff members to organize department events, including guest speakers, conferences, and alumni reunion and student celebration, etc.
Coordinate food and item ordering, set up, and break down of department events including colloquium speakers, department lunch events, etc.
Take faculty meeting minutes and prepare for distribution.
Expectation to attend /coordinate selected departmental events that may occur in the evening and /or occasionally on a weekend.
Maintain an inventory of department promotional materials and office supplies.
Provide insight on process improvements and successful outcomes.
Attend university staff development workshops and /or training sessions as appropriate for ongoing professional development.
Other duties as assigned.
