Provides routine clerical and administrative assistance through the performance tasks that follow well-established procedures. This position is located on the Stephenville Campus. Work hours are Monday to Friday; 8 AM-5 PM or as work requirements indicate. Must be able to work remotely at the request of the University. Essential Duties & Responsibilities:40% Chief Medical Officer Administrative Duties
Review documents for the Chief Medical Officer. Attends meetings or serves on committees on behalf of The Chief Medical Officer.
Organizes the day-to-day operations of the Chief Medical Officer by efficiently managing the details of the daily schedule Coordinates travel arrangements and prepare itineraries. Coordinates meetings, seminars, and other special events while at times even providing on-site support. Helps prepare educational presentations and agendas for meetings specific to the needs of the Chief Medical Officer.
Analyzes requirements for projects or initiatives. Provides technical information regarding administrative procedures, services, or programs.
Applies and interprets, and/or assists in implementing management policies or operating practices. Develops administrative and technical procedures. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures. May monitor compliance with policies and procedures.
Manages contracts and licenses for the Chief Medical Officer and on behalf of the Student Health Center such as Fonemed, CLIA, etc.
Makes and cancels student appointments in EHR at the Student Health Center as needed.
40% Budget and Billing
Sets up accounts payable for Student Health Services such as hazardous waste, Quest Lab, etc.
Checks Student Health Services charges are confirmed to Banner.
Assists patients at the front desk to verify demographic information, to collect co-pays and past-due balances, to verify insurance, to register patients in the portal and to check patients in and out.
Assists with various billing projects that include (but are not limited to) correcting denied claims due to registration errors, inputting demographics for hospital billers, preparing receipts for deposits. Investigates and resolves routine and some complex errors on cash transactions.
Prepares works orders. Oversees service calls and repairs.
Monitors, organizes and creates orders for office and clinic supply inventory and over-the-counter medications. Receives, verifies and logs receipt of goods into the electronic medical records system.
Assists with office budget. Develops and executes P.O. Balances accounts to Canopy, evaluating funds available and funds consumed. Manages procurement cards: input charges and reason for charge into Concur.
20% Student Health Services Office Management
Participates in the planning and execution of the Student Health Services administrative operations. May serve as the office manager. Monitors office procedures. Develops, evaluates, and ensures adherence to office procedures.
Assists in answering phone calls to the Student Health Center
Coordinates the maintenance of files, records, office supplies, or equipment. Makes recommendations for process improvements, administrative changes, or new initiatives.
Hires, trains and supervises student workers and support staff.
Education and Experience:
Bachelor's degree or equivalent combination of education and experience.
Six years of related experience.
Knowledge, Skills and Abilities:
Knowledge of word processing, spreadsheet, database, and presentation applications.
Ability to multitask and work cooperatively with others.
Interpersonal and communication skills.
Planning and organization skills.
