DescriptionWe have an exciting opportunity to join us in supporting one of our valued customers as an Executive Aide (N4) to work out of Arlington, Virginia. The Deputy Chief of Naval Operations (DCNO) for Logistics and Readiness (OPNAV N4) plans, defines, and provides logistics and readiness support needed to support the readiness of the operating forces and shore establishment. The candidate will work directly for the Assistant Deputy Chief of Naval Operations, who is the highest-ranking civilian in the organization. The candidate will serve as an Executive Aide and will be given great latitude to ensure the success of the client.Essential Duties:
Lead internal meetings on behalf of Assistant Deputy Chief in support of division goals.
Engage support staffs from other OPNAV divisions, Navy Commands, SECNAV, Joint Staff, OSD, and other Defense Department agencies to coordinate interactions with the and Assistant Deputy Chief.
Proactively manage tasker responsibilities and deadlines including notifying responsible parties of duties and assignments, ensuring the tasker is completed with the expected level of quality and on time.
Perform vetting and analysis of incoming and outgoing documents identified for action.
Serve as a gate keeper to ensure Assistant Deputy Chief’s time is not spent on issues that are more properly addressed at a lower level within N4.
Manage special project due dates, correspondence and deliverables.
Provide management advisory services including, but not limited to defining issues, determining applicable precedents, laws, or regulations, and identifying the most effective approach.
Coordinate interactions on sensitive issues within OPNAV, and other Flag Officers/Senior Executive Service Staff.
Monitor the completion of personnel actions required by Assistant Deputy Director.
Coordinate, update and print daily calendars for Assistant Deputy Chief.
Schedule meetings on the behalf of Assistant Deputy Chief on daily basis.
Assist Assistant Deputy Chief with travel arrangements.
Answer and direct phone calls appropriately.
Process correspondence related to job duties and on behalf of Assistant Deputy Chief.
Maintain file and data systems daily.
Create and update PowerPoint presentations for meetings with Division Directors.
Additional duties as assigned.
Required Qualifications:
5 years relevant work experience
Strong written, verbal communication skills; attention to detail; ability to work independently, and ability to multi-task.
Ability to work in a fast-paced, quick changing environment and adapt to situations as they arise.
Review, package and deliver executive level recommendations to Assistant Director and subordinate divisions.
Maintain positive working relationships with key stakeholders.
Direct client support experience, on-site support a plus.
Experience leading meetings.
Intermediate to Advanced knowledge of MS Word, MS Excel, and MS PowerPoint
Preferred:
Navy organizational experience.
Administrative experience to include, but not limited to, Microsoft Office Suite.
Strong interpersonal skills.
Small team management experience.
Experience with Fitness Reports (FITREPS).
Experience with Defense Travel System (DTS).
Experience with DONTRACKER, TMT, or comparable tasker management tool.
