Hours of CoverageOn-site M-F8:00am-5:00pmAdditional coverage as needed.About the Role:As a CBRE Office Services Coordinator, you will assist with providing administrative support to a small team or department.This job is part of the Office Operations function. They are responsible for providing office support to a client, business function or individual contributor. Deliver sorted and bundled letter mail to mail sorters.What You’ll Do:Respond to all emails within two business days or as necessary.Respond and process all ServiceNow requests in adherence to SLAs (Service Level Agreement). Requests should be prioritized based on category, urgency, and priority.Create CampusShip accounts within one business day of request or as necessary based on urgency.Audit and process SendSuite notifications, 2nd, and 3rd notificationsEdit package, scan in the Refused shelf number.Audit and process Redirect packagesEdit Unresolved packages, scan in the Redirect shelf number.Ensure that all Refused and Redirect packages are placed on the assigned Refused and Redirect shelves.Clean up clutter, loose parcels should be shelved.Oversee the back dock access points and garage door. Ensure they are always secure after use.Maintain positive control of all mail support carts that may be loaned to associates when picking up their packages. Maintain organization of the mailroom by placing supplies, tools, and materials in their designated locations.Respond to inquiries from associates as needed. Direct them to the appropriate parties for support.Ensure employees are aware of the Guidance Forms located in each workroom drawer.Provide directions to associates regarding mail pickup/drop-off times and locations. Direct them to our UPS CampusShip guidance and advise them of Office Services mail policies as needed.Respond to all back dock door calls immediately and assist according to Operations policies.Adhere to all security protocols regarding blocked or propped doorways.Report to your client any ongoing issues with Iron Mountain or Primo Coffee/water servicesClear the mailroom counters of clutter and document any unscanned accountable (as needed)What You’ll Need:High School Diploma or GED with up to 2 years of job-related experience.Ability to follow basic work routines and standards in the application of work.Communication skills to exchange straightforward information.Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.Strong organizational skills with an inquisitive mindset.Basic math skills.
