Role Description

We’re looking for a part-time, fully remote Tax Administrative Assistant (Based in Washington State) to join our growing virtual CPA firm. This flexible role averages 20–25 hours per week and is perfect for someone who is detail-oriented, organized, and adaptable. You’ll wear many hats and help keep our operations running smoothly as we expand.

What You’ll Do

Manage tasks and workflows in firm software to keep projects on track.

Take ownership of the new client onboarding process, including proposals, engagement letters, and setting up clients in our systems.

Support basic tax preparation and compliance tasks.

Ability to handle client correspondence and ensure timely communication.

Assist with marketing initiatives, such as blog posts and outreach.

Jump in on day-to-day administrative projects and help improve processes.

Qualifications

Strong administrative and organizational skills, with experience in supporting professional service teams (CPA, legal, or financial services preferred)

Proficiency in clerical and office management tasks, including scheduling, document organization, and client correspondence

Excellent communication and phone etiquette, with the ability to interact professionally with clients and colleagues

Detail-oriented and accurate, with follow-through and the ability to manage multiple deadlines efficiently

Familiarity with tax or accounting processes (e.g., handling client organizers, engagement letters, and e-filing documents) — experience in a CPA or tax office is a plus

Strong technical proficiency, including Microsoft Office (Word, Excel, Outlook), PDF editing tools

Experience with accounting/tax software (such as Tax Dome, CCH Axcess, QuickBooks or other tax software is a plus

Marketing or social media management experience is a plus — especially familiarity with small-business marketing tools (e.g., Canva, website updates, or LinkedIn business pages)

Ability to work independently and maintain confidentiality while collaborating effectively with a small remote team

Reliable and self-motivated, with strong time management and problem-solving skills

Associate’s degree or higher in Business Administration, Accounting, or a related field preferred; relevant experience may substitute for formal education
